About The Position

The School of Criminology and Criminal Justice at Florida Atlantic University is seeking an Administrative Support Assistant in Boca Raton, FL. This position is responsible for managing the reception area in the School of Criminology and Criminal Justice. Provides general support to the School’s Director and Executive Committee, including scheduling and coordinating faculty meetings, events and appointments for the Director and program coordinators. Maintain paper and electronic records that are organized and easily accessible. Coordinates the School of Criminology & Criminal Justice events including student clubs (e.g. CJ Club, Mock Trial Club), continuing education and community-engagement events.

Requirements

  • A high school diploma or equivalent and four years of appropriate experience required.

Responsibilities

  • Provide office administration and program support in person and over the phone, with a friendly, courteous, and professional demeanor; and handle inquiries from students, other constituents within the College, and from others throughout the University.
  • Supervise and train student workers/temporary staff as needed.
  • Assist faculty and staff with problems/repairs, ordering supplies and books, copy jobs, scanning, and scheduling events, classes, and equipment setup.
  • Process Workday and other FAU systems business processes, including the hiring, budgeting, preparing invoices for purchasing, faculty and student travel, spend authorizations and expense reports, reimbursements, and check requests, as well as ordering supplies and handling mail.
  • Assist speakers and facilitators with course materials.
  • Manage advertising, signage placement, catering, payment processing, and payments for facilitators.
  • Assist with the creation of surveys, completion certificates, and other documents as needed.
  • Continuing education unit (CEU) reporting, as needed.
  • Responsible for attending relevant committee or planning meetings and recording notes.
  • Manage and organize continuing education One Drive, including full documentation for each continuing education training.
  • Update database to track attendees, including imports of students, faculty, alumni, and other listservs.
  • Coordinate with the College-level Director of Communications on the School’s social media outreach.
  • Update and maintain the School’s website and video monitors in coordination with the Director of Communications using official content management systems (e.g., AppSpace).
  • Provide supplemental assistance to the College Dean's office as needed.
