About The Position

The Administrative Support Assistant II serves as a key member of the Eller College of Management Undergraduate Programs Office, providing administrative and operational support to ensure the effective daily operation of the department. This position coordinates business processes, supports operational activities, maintains departmental records and databases, and assists with facilities, technology, and customer service functions. The role works collaboratively with faculty, staff, students, and university partners to support departmental goals and deliver high-quality services. This position also provides direct administrative support to the Undergraduate Associate Dean, including calendar management, meeting coordination, and support for department initiatives and projects. The successful candidate will be highly organized, customer service oriented, detail focused, and capable of managing multiple priorities in a dynamic environment. This role may take on additional responsibilities as required by the position and the department. The primary hours of this are in-person, Monday through Friday, 8am – 5pm. Some evening and weekend hours may be required. Visa sponsorship is not available for this position.

Requirements

  • High School diploma or equivalent, or equivalent learning attained through professional work experience.
  • Minimum of 3 years of relevant experience.
  • Knowledge of administrative operations, business practices, and office procedures.
  • Demonstrated understanding of organizational processes and operations.
  • Strong organizational, prioritization, and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to provide outstanding customer service and work effectively with diverse stakeholders.
  • Ability to manage multiple responsibilities with attention to detail and accuracy.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Strong problem-solving skills and ability to identify process improvement opportunities.

Nice To Haves

  • Experience troubleshooting computer hardware and peripherals.
  • Experience working with University of Arizona systems, including UAccess.
  • Experience supporting academic, business, or higher education administrative operations.

Responsibilities

  • Provide administrative and business process support for Undergraduate Programs operations.
  • Coordinate office logistics, facilities requests, and operational activities.
  • Support staff with travel arrangements and related documentation.
  • Manage the reservation and scheduling of seminar and conference rooms in collaboration with college partners.
  • Assist with student support processes and departmental services.
  • Maintain technology and equipment inventories and support resource tracking.
  • Serve as a primary point of contact for internal and external inquiries.
  • Respond to requests for information using knowledge of university and departmental policies and procedures.
  • Draft correspondence and communications on behalf of the department.
  • Coordinate with building management regarding facilities issues and maintenance requests.
  • Work with IT partners to address departmental technology needs.
  • Support departmental space management and inventory processes.
  • Create and maintain recordkeeping processes, databases, and operational documentation.
  • Assist with updating departmental procedures and best practices documentation.
  • Coordinate shared departmental technology resources, including laptops and tablets.
  • Maintain public-use computers and related equipment inventories to ensure operational readiness.
  • Manage and maintain the Undergraduate Associate Dean's calendar, appointments, meetings, and events.
  • Coordinate meeting logistics and administrative activities on behalf of the Associate Dean.
  • Support department initiatives, projects, and special assignments as directed.
  • Assist with department meetings, events, and activities.
