The Administrative Specialist Business Division provides administrative and operational support by preparing classroom materials, coordinating evaluations, and assisting with student services and inquiries. This role maintains and oversees records, schedules, travel, and reporting, while supporting faculty with day-to-day needs and technical assistance. Responsibilities also include assisting with budgets, processing timecards, and supporting new hire onboarding. This is a hybrid eligible position that would allow for 1 day a week working from home after the training period.

Requirements

  • Associate degree in related field OR Education combined with appropriate occupational experience in related field totaling 2 yrs. OR Occupational experience in related field totaling 2 yrs.
  • Authorization to work in the United States.
  • Copies of Transcripts from regionally accredited colleges or universities are acceptable during the application process (originals will be required upon hire)

Responsibilities

  • Perform office functions which may include but are not limited to: respond to internal/external customers and staff; compile data, create, modify, proofread and edit documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
  • Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
  • Student Success is the cornerstone of Western’s culture, and the college may assign employees as needed to other areas or additional duties to foster this success.
  • Provide classroom support to faculty by preparing classroom materials, coordinating textbook ordering and proctoring exams/scheduling rooms
  • Provide information to students, staff and stakeholders within the scope of work performed
  • Provide day-to-day computer support for the division faculty and students.
  • Coordinate student and faculty evaluations and disseminate for accrediting agencies
  • Assist students with questions, class requirements, admissions, class schedules, registration, orientation, financial aid and referrals.
  • Collect and process requests and fees for applicable facilities and services
  • Arrange and process travel and registration requests, student testing, orientation and student tours
  • Monitor, negotiate and revise contract agreements and riders within scope of the program
  • Manage inventory and supplies
  • Monitor, maintain, analyze data and process required reporting
  • Identify and validate available hours for adjunct faculty
  • Assist with special projects as assigned by the Dean
  • Process timecards, payroll and budget
  • Process new hire paperwork for student workers
  • Oversee budgeting, purchasing, and expense reporting communication and coordination with staff and faculty through Chrome River
