About The Position

The Administrative Specialist will provide administrative support for the undergraduate and graduate programs in the Division of Business, Communications & Health Studies, specifically supporting department chairs, program directors, the Associate Deans, and the Dean. This a full-time position, reporting to the Dean of the Division of Business, Communications & Health Studies. The schedule is Monday through Friday, 8:30 am to 5:00 pm.

Requirements

  • Professional demeanor and ability to work effectively with various constituencies including: prospective students, current students, their families, general public, faculty, administrators.
  • Computer proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Google Drive, Canisius University BANNER system, iAdvise, Desire2Learn, Qualtrics, Courseleaf, webpage editing software, social media, and other emerging systems and applications.
  • Ability to support multiple departments in multiple locations, including remote support.
  • Strong organizational, interpersonal, and communication skills.
  • Computer proficiency with Microsoft Word, Excel, Zoom, and the ability to learn additional programs.
  • Excellent calendar management skills.
  • Knowledge of Banner.
  • Ability to manage multiple projects with strong attention to detail.
  • Must be eligible to work in the United States.
  • Minimum 2 years demonstrated administrative support experience.

Responsibilities

  • Provide skilled administrative support to the undergraduate/graduate programs, department chairs, program directors, and the associate dean in the Division of Business, Communications & Health Studies. Perform general office duties: field incoming calls, mail, email communications, filing, etc. Monitor the Division of Business, Communications & Health Studies email accounts and direct inquiries to the appropriate administrator for resolution. Attend meetings and events as required.
  • Help with Planning, coordinating, and managing department events.
  • Administrative support for the Faculty Associate Deans: general office support.
  • Triage student issues and apply corrective action, including degree audit issues when necessary, or defer to the associate dean.
  • Update web pages and oversee the process for soliciting updates and changes needed under the supervision of the Associate Vice President for Academic Affairs or applicable Executive Administrative Associate
  • Understand and navigate Banner, including data entry, registration of students, and class enrollments.
  • Support students as needed: assist them in communicating with faculty; schedule advisement meetings; provide and collect information regarding scholarships and internships.
  • Perform other duties as assigned.
