About The Position

Under the supervision of the Business Manager, the Administrative Specialist performs general clerical and administrative services essential to support the UCI Health Public Safety Division’s operation. The Administrative Specialist will maintain departmental records and pertinent files; prepare reports and other required records; and provide business services such as inventory and general clerical assistance. Performance requires independent problem solving, strong verbal and written communication skills; creative thinking; knowledge of a generally accepted accounting principles, university accounting practices, policies and procedures, and KFS functions, as well as the ability to apply this knowledge to daily job functions. Incumbent must act with professionalism and diplomacy with all levels of university administration, faculty, staff, students, patients and others; and maintain discretion and strict confidentiality regarding sensitive issues handled within the department.

Requirements

  • Understanding written and verbal instruction
  • Excellent interpersonal skills to effectively develop and maintain cooperative and productive working relationships with a diverse group of individuals
  • Working knowledge of PC-based software (e.g. Word, Excel, PowerPoint & Outlook) and other general office equipment
  • Telephone and verbal skills to communicate clearly and effectively
  • Must display exceptional customer service and communication skills
  • The ability to read, write, and speak effectively in English
  • Bachelor's degree in related area and / or equivalent experience / training
  • Required to hold a valid drivers license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
  • Must be able to provide proof of work authorization

Nice To Haves

  • One year or more of previous experience providing administrative support at the University of California or within a higher education environment
  • 1-3 years Purchasing and general office support
