About The Position

The Facilities Division is hiring an Administrative Specialist Senior that: Provides high-level professional administrative support to internal staff and leadership related to an agency's business operations. Performs duties in the oversight of intricate processes such as activities involving mandated regulations or procedures, comprehensive research, or collaboration with internal and external stakeholders. Job duties include but are not limited to the following: Provides professional administrative support in the review, development, evaluations and implementation of the agency property inventory system. Maintains and updates DMAs Fixed Assets Through EMARS as Required by the Finance Cabinet. Approves division property officers and custodian eMARS transactions. Validates, records and maintains records of all DMA fixed asset property turn-ins IAW Finance Surplus Property guidance, federal cooperative agreements and DMA policy. Travels to various state and local government offices in support of transactions. Develops and conducts quarterly training on a quarterly basis or as needed for division property officers and custodians. Training is to include eMARS, Finance, Surplus Properties, DMA and Federal Cooperative Agreement policy and procedures. Travels to various locations throughout the state to conduct training. Participates in monthly, quarterly and annual budget management process providing input on expenditures and expected expenditures impacting the annual budget plan. Responsible for the receipt of property, unloading and reviewing shipments reviewing shipments received by the division on behalf of the Department. Supervision of employee's activities within the Property Management Branch. Authorizes leave, approves compensatory time and conducts performance evaluations.

Requirements

  • EDUCATION: Graduate of a college or university with a bachelor's degree.
  • EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
  • Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
  • Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
