About The Position

Performs general secretarial and administrative duties. Executes highly confidential administrative policies for company management and pathologists. Professionally represents the department to which they are assigned.

Requirements

  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
  • Must be able to read, write English and have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several variables in standardized and unusual situations.
  • Proficient in using Microsoft Office products in addition to various other software products including the Laboratory Information System.

Responsibilities

  • Manages calendars and independently schedules appointments for management and pathologists as assigned.
  • Assists in pathologist scheduling through electronic software system.
  • Answers pathology phones, screens incoming calls and correspondence and responds independently when possible.
  • Responds to customer inquiries for information regarding specimen requirements, testing schedules and test results.
  • Contacts clients, physicians or patients to obtain missing information needed to accomplish accurate specimen processing, billing and clinical-pathological correlation for case review.
  • Prepares memorandums, official letters, procedures and policies for pathologists.
  • Coordinates case management.
  • Accessions and distributes consult cases; creates amendments and/or addenda; pdf upload of external lab results.
  • Coordinates programs, events or conferences by arranging facilities, catering, invitations and coordinating speakers.
  • Prepares agendas, notices, minutes and resolutions for assigned meetings/presentations.
  • Assists during presentations, to include verification of proper equipment function and resolution if required.
  • Assists pathologists in assembling tumor board presentations.
  • Acts as the custodian of corporate documents and records to include the preparation and filing of corporate legal documents.
  • Assists in specimen triage for risk management and legal invoicing.
  • Creates and maintains databases/spreadsheets/image files as requested by senior managers and pathologists.
  • Maintains departmental equipment and asset lists in coordination with manager.
  • Performs clerical functions to include filing, pulling slides for review and send out, and protocols for scanning.
  • Arranges travel plans and itineraries, compiles documents for travel-related meetings, and accompanies management/pathologists when requested.
  • Triages send out testing, including consult material and molecular testing, on behalf of pathologists and other network physicians, clients and/or patients.
  • Triages bone marrow and peripheral blood specimens for Hematopathologists.
  • Works in coordination with LVHN for clinical trial testing.
  • Coordinates installation/repair of pathologist equipment including microscopes and cameras.
  • Assists pathologists in IT issues with assistance from HNL IT department.
  • Provides training to new staff members in the department.
  • Accepts additional responsibilities as needed during staffing shortages.
  • Maintains work assignments and flexibility; communicates ongoing outstanding issues with other members of the department.
