About The Position

The Administrative Specialist is a support role that performs a full range of administrative duties, in addition to project work, and may also provide guidance and limited work direction to others. This role provides administrative support for nursery operations, including assisting with nursery-related orders, documentation, inventory records, and customer inquiries. It involves communicating with customers, vendors, and internal teams regarding nursery products, availability, orders, and related needs, providing timely issue resolution and support. The position also coordinates purchasing activities, processes and maintains sales orders, and supports bid and order entry processes. Collaboration with sales, operations, vendors, and customers is key to successful project execution, and the role may involve mentoring less experienced peers.

Requirements

  • 2-4 years of administrative/clerical experience in a fast-paced environment
  • Excellent communication and customer service skills.
  • Strong computer skills including MS Office Suite and Outlook
  • Ability to maintain confidential data
  • Previous experience working in a nursery environment or directly supporting nursery operations required.
  • Knowledge of nursery products and plant material to effectively support customers and branch operations.
  • High school diploma or equivalent

Responsibilities

  • Respond to inquiries from internal and external customers
  • Prepare correspondence, reports, and other business documents for distribution.
  • Facilitate and organize workflow through supervisor’s office, ensuring all items requiring follow up action are addressed
  • Provide administrative support for nursery operations, including assisting with nursery-related orders, documentation, inventory records, and customer inquiries.
  • Communicate with customers, vendors, and internal teams regarding nursery products, availability, orders, and related needs, providing timely issue resolution and support.
  • Coordinate purchasing activities, including purchase order management and communication with vendors.
  • Process and maintain sales orders, ensuring accurate information and timely updates throughout the project lifecycle.
  • Support bid and order entry processes, including data entry, material takeoffs, and estimating support.
  • Prepare and distribute project documentation, purchase orders, product submittmits, and related paperwork.
  • Collaborate with sales, operations, vendors, and customers to support successful project execution.
  • Mentor less experienced peers or delegate work to others
