About The Position

The Statewide Guardian ad Item Office is Florida’s award-winning, state-funded child advocacy organization that provides independent legal representation to abused, abandoned and neglected children in Florida’s dependency court proceedings. The Budget Office provides administrative support to all 20 judicial Circuits and State Office staff who work in the field. The Administrative Specialist will work under the general supervision of the Budget and Accounting Director and perform a variety of secretarial, administrative support, and clerical duties for and on behalf of the Budget and Accounting Director. The person hired for this position must exercise discretion with sensitive and confidential information. This is a part-time Other Personal Services (OPS) position that will work up to 20 hours per week in the Statewide Guardian ad Item Office located at 111 W. Madison St.; Suite 674; Tallahassee, FL 32399.

Requirements

  • Standard high school diploma or equivalent.
  • Two years of experience performing similar activities in a budget and accounting office environment.
  • Proficiency in the use of personal computer applications such as Excel, Word, Adobe and Outlook.
  • Must have transportation as he or she will be expected to regularly pick up mail from the Post Office and Accounts Payable checks from the Justice Administrative Commission.
  • Must have transportation that would allow you to perform errands for the Statewide Office when needed.
  • Ability to maintain confidentiality concerning sensitive information.

Nice To Haves

  • Completed or pursuing a four-year college degree in the areas of Business, Accounting or Finance.
  • Some knowledge of or ability to learn accounting terminology.

Responsibilities

  • Update various budgeting tools including the invoice tracker, grant certification forms and monthly travel.
  • Type correspondence, prepare or update reports and charts in Excel, scan and submit approved invoices to the Justice Administrative Commission.
  • Regularly pick up mail from the Post Office and Accounts Payable checks from the Justice Administrative Commission.
  • Routinely take deposits to the bank and return the deposit slip to the State Office Budget Analyst.
  • Work both independently and under the guided supervision of the Budget and Accounting Director.
  • Exercise discretion in dealing with confidential and sensitive information.
