About The Position

The North Carolina Department of Health and Human Services (DHHS) is one of the largest, most complex agencies in the state, and has approximately 17,000 employees. It is responsible for ensuring the health, safety, and well-being of all North Carolinians, providing human service needs for special populations including individuals who are deaf, blind, developmentally disabled, and mentally ill, and helping poor North Carolinians achieve economic independence. This position is a member of a 5-staff administrative team which provides administrative support for the Construction Section, and the Plan Review and Life Safety Teams within the Construction Section. The Construction Section inspects and recommends for licensure health care facility and social care facilities, as well as county jail construction projects. This position is in the Construction Section which is located at the new DHHS Headquarters located across the street from the NC Museum of Art. The Division of Health Service Regulation oversees medical, mental health and adult care facilities, emergency medical services, and local jails. We check to see that people receiving care in these facilities are safe and receive appropriate care. We make certain that medical buildings are built only when there is a need for them.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Nice To Haves

  • Computer experience including data entry, scanning, electronic filing, and producing documents in both Microsoft Word and Excel.
  • Capability to work both independently and as part of a team with a high degree of accuracy.
  • Excellent communication skills, both written and oral, including the use of correct grammar, vocabulary and spelling.
  • Flexibility, with the ability to multi-task and manage changing work priorities.
  • Ability to effectively communicate with employees, public, professionals, providers, government agencies via phone or face to face contact in a positive and professional manner.

Responsibilities

  • Processing of review letters, surveys, and invoicing documents
  • Electronic filing and compiling records requests
  • Create letters using templates in MS Word
  • Email and mail letters to applicants, administrators, other agencies, and other Sections within DHSR
  • Data entry in MS Office Programs and other data tracking software
  • Back-up coverage for the 2nd floor lobby receptionist and first point of contact for the public
  • Answer phones and route all calls to appropriate staff or Sections
  • Operate general office machines
