We are seeking an Administrative Specialist I to join our team in Washington, DC. This role is essential in supporting office operations, ensuring compliance, and maintaining efficient administrative processes within a fast-paced government environment.

Requirements

  • High school diploma or GED
  • 2+ years of relevant administrative or office support experience
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)

Nice To Haves

  • Working proficiency with Microsoft Access
  • Experience providing administrative support in a U.S. Department of State environment

Responsibilities

  • Providing comprehensive administrative, program, and office operations support
  • Performing administrative management functions for office, project, and program operations
  • Reviewing and applying administrative policies and procedures
  • Developing and maintaining administrative systems and processes
  • Composing and routing correspondence, tracking actions to completion
  • Greeting visitors and managing incoming calls
  • Reviewing outgoing correspondence for compliance
  • Assembling information for reports and responses
  • Ensuring documents are accurate, properly formatted, complete, and submitted on time
  • Preparing and overseeing meeting minutes, presentations, reports, and project documentation filing
  • Utilizing Microsoft Word, Excel, PowerPoint, and Access to create charts, spreadsheets, presentations, and reports
  • Collecting, tracking, and analyzing administrative and program data
  • Coordinating with staff and management to support workflow and work distribution
  • Supporting procurement activities, including purchase requests, PO review, and supply/property tracking
  • Assisting with property management and inventory tracking/reporting
  • Supporting compliance with financial and procurement procedures
  • Providing timely status updates and performing other duties as assigned
