About The Position

This position provides specialized business and clerical support for the Children’s Developmental Services Agency (CDSA) to enable efficient daily operations and compliance with state and federal requirements. The role handles purchasing, receiving, fixed asset management, annual inventory, surplus processing, and tracking of assistive technology and agency vehicles. Work includes shared responsibilities such as reception coverage, office equipment operation, and clerical support for direct service staff within a busy office environment. The position requires detailed, accurate processing of program and operational tasks to support the agency’s mission of serving infants and toddlers with developmental delays or disabilities.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience OR An equivalent combination of education and experience.

  • Expertise performing purchasing and receiving tasks, including order entry, supply tracking, and documentation of transactions to support day‑to‑day CDSA operations.
  • Documented experience managing fixed assets and annual inventory cycles, including tracking equipment, documenting transfers, and coordinating surplus processing in accordance with agency procedures.
  • Proven experience maintaining and updating operational logs—such as agency car logs—and coordinating vehicle transport for scheduled preventative maintenance activities.
  • Professional experience providing clerical and administrative support within a high‑volume office environment, including reception duties, office equipment operation, record organization, and preparation of documents that support program workflows.
  • Proficiency using Windows and Microsoft Office programs, including Word and Excel, to prepare documents, manage data, and support accurate and efficient business operations.

Responsibilities

  • Perform day‑to‑day purchasing activities, including ordering, receiving, and documenting supplies in alignment with agency procedures.
  • Manage fixed assets by maintaining inventory records, completing annual inventory, and coordinating surplus processing.
  • Track and document assistive technology (AT) equipment to support timely distribution, retrieval, and reporting.
  • Monitor and maintain the agency car log; schedule and transport vehicles for monthly preventative maintenance.
  • Provide reception coverage, greet visitors, and direct inquiries to appropriate CDSA staff.
  • Operate office equipment and assist with clerical tasks supporting direct service providers, ensuring efficient workflow within the CDSA.
  • Process, organize, and maintain administrative records to support compliance with program, state, and federal requirements.
  • Support mail handling, document preparation, and other shared team duties as assigned to meet operational needs.
  • Respond to internal and external customer inquiries with professionalism, ensuring clear and accurate communication.
  • Adjust work responsibilities as needed to support staffing patterns and evolving CDSA operational requirements.
