About The Position

The Division of Vocational Rehabilitation (VR) is seeking an Administrative Secretary to serve as the receptionist for Unit 16B. VR is a federal-state program dedicated to helping individuals with physical or mental disabilities find and maintain employment, thereby enhancing their independence. The mission of VR is to assist people with disabilities in finding and keeping jobs, and the vision is to be the primary resource for employment assistance for individuals with disabilities and a top resource for employers seeking qualified employees. This role is crucial in supporting the unit's commitment to providing quality and timely customer service to VR customers.

Requirements

  • Two years of secretarial or clerical work experience.
  • Possession of a Certified Professional Secretary Certificate.
  • College education from an accredited institution at the rate of 30 semester or 45 quarter hours for each year of the required experience.
  • Vocational/technical training in an area of secretarial science or office/business studies at the rate of 720 classroom hours for each year of the required experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.
  • Knowledge of office procedures.
  • Knowledge of correct spelling, punctuation, and grammar.
  • Knowledge of basic arithmetic.
  • Knowledge of filing practices.
  • Knowledge of techniques for handling telephone calls courteously and efficiently.
  • Skills in Microsoft Word and Excel.
  • Typing skills.
  • Skills in operating general office equipment.
  • Ability to organize files and records.
  • Ability to perform basic arithmetic calculations.
  • Ability to prepare letters, memoranda, and forms in correct format.
  • Ability to manage telephone calls effectively and courteously.
  • Ability to plan, organize, and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships.
  • Ability to maintain confidentiality of customer information.
  • Ability to use agency automated systems.
  • Level 2 employment screening.

Responsibilities

  • Serve as the receptionist for the Division of Vocational Rehabilitation’s Unit 16B.
  • Respond to inquiries from visitors, customers, vendors, and the public.
  • Draft correspondence.
  • Schedule appointments.
  • Maintain files.
  • Provide information to callers.
  • Answer the main line.
  • Assist walk-ins.
  • Take referrals.
  • Process mail.
  • Assist customers with questions.
  • Return calls.
  • Take and enter referrals.
  • Assist the unit with orientation.
  • Perform other related duties as assigned.
