About The Position

Legal Aid of NorthWest Texas (LANWT) is a non-profit public interest law firm that provides high-quality, free civil legal services to low‑income individuals and families in 114 counties across North and West Texas. Our mission is to ensure equal access to justice and improve the lives of low-income communities by providing high-quality legal representation, strategic litigation, valuable legal advice and meaningful collaborations, outreach, and community education. LANWT seeks an experienced, detail-oriented Administrative Secretary with strong interpersonal and relational skills to provide high level secretarial and administrative support to the Deputy Director, Director of Litigation, and Deputy Director of Litigation within the executive leadership administrative office. The Administrative Secretary serves as a trusted point of contact across the organization, upholding LANWT's commitment to equal access to justice, dignity, and client-centered service in every interaction with staff, clients, and community stakeholders, while handling all administrative matters with sound judgment, discretion, and the strictest confidentiality.

Requirements

  • 3+ years supporting senior-level executives.
  • Excellent oral and written communication skills.
  • Detail oriented, efficient, highly organized, and self-motivated.
  • Ability to establish priorities and meet deadlines.
  • Strong problem-solving skills with a solution-focused approach to administrative challenges and competing priorities.
  • Demonstrated interpersonal and relational skills, including empathy, sound judgment, and the ability to interact professionally and courteously with individuals at all levels.
  • Ability to work independently and exercise good judgment while maintaining confidentiality, integrity, and discretion in the performance of all duties.
  • Excellent technology and computer skills with use of Microsoft products and Adobe.
  • Ability to engage in occasional work-related travel.
  • Excellent attendance record.

Nice To Haves

  • A bachelor’s degree is preferred.
  • Knowledge of the civil legal aid or non-profit legal services field, including the populations and communities LANWT serves is preferred.
  • Familiarity with basic legal terminology, court filing procedures, and legal document formatting preferred.
  • Familiarity with grant-funded program requirements, budgets, and reporting or compliance processes preferred.
  • Bilingual (English/Spanish) — both verbal and written is preferred.

Responsibilities

  • Work collaboratively and professionally with the Deputy Director, Director of Litigation, Deputy Director of Litigation, LANWT branch management and staff, community stakeholders, and clients, reflecting LANWT's mission and values in every interaction.
  • Receive visitors with professionalism, warmth, and courtesy, ensuring every individual is treated with dignity and respect.
  • Prepare correspondence, reports, presentations, and spreadsheets using standard and advanced Microsoft Office applications and related software.
  • Conduct research and respond to information requests in support of ongoing organizational projects.
  • Handle case-related matters and maintain the security of confidential information at all times, exercising sound judgment, discretion, and integrity in sensitive client, case, and organizational matters.
  • Organize and maintain files, documents, and records.
  • Coordinate and administer the management calendar, including scheduling meetings, interviews, and conference calls.
  • Plan and coordinate events, conferences, logistics, conference rooms, and luncheons.
  • Process the firm's training and travel requests and handle travel accommodation.
  • Provide general administrative support, including answering phones, distributing mail, and ordering supplies.
  • Assist with facility and vendor management, including serving as a point of contact for vendor interface and technical support needs.
  • Track grant deadlines, compile supporting documentation, and prepare materials for grant reporting and compliance.
  • Practice active listening and clear, professional communication when coordinating across departments and responding to internal and external inquiries.
  • Serve as back-up support for the Executive Secretary.
  • Adhere to firm policies and procedures, following guidance and training provided by the Executive Secretary and senior administrative staff.
  • Perform other related duties assigned by the Deputy Director, Director of Litigation, Deputy Director of Litigation, or CEO.
