About The Position

This role involves advanced and specialized word processing to efficiently produce professional quality, grammatically and technically correct documents that adhere to County policies. The Administrative Secretary II acts as a personal secretary and administrative aide to a supervisor of a large or complex operating unit, interviewing office visitors, securing details of specialized information, and providing information regarding the unit's services or operations. The position screens calls, prepares forms independently, composes letters and reports for the supervisor's signature, and sets up and maintains files and logs. Responsibilities include assembling information for the supervisor, managing their calendar and appointments, taking minutes of meetings, compiling and distributing information, and entering/retrieving data using computer software. The role also assists in preparing invoices, bills, and records, may assist in bookkeeping functions, maintains records and reports, manages equipment inventory, schedules equipment maintenance, and requisitions supplies. A physical requirement includes the ability to lift approximately 20 pounds.

Requirements

  • Ability to work independently with minimal supervision.
  • Ability to make minor decisions within departmental policy.
  • Ability to make decisions regarding documents in accordance with departmental regulations or policy.
  • Knowledge of business English, spelling, and punctuation.
  • Knowledge of rules, regulations, practices, and procedures pertaining to word processing.
  • Ability to type, format, and proof documents.
  • Ability to compose letters and memoranda.
  • Ability to make logical and technical decisions in the application of word processor functions.
  • Accurate vision for copy typing and proofreading eight or more hours daily.
  • Ability to sit for long periods.
  • Ability to lift approximately 20 pounds.
  • Graduation from an accredited college or university with an Associate degree and two (2) years' experience in responsible secretarial work OR a High School Diploma or equivalency and four (4) years' experience.
  • Experience working extensively with Microsoft Office (Excel, Outlook, PowerPoint and Publisher) and Adobe Acrobat X Pro.
  • Must possess a valid Florida driver's license.
