About The Position

The University of Virginia is seeking an Administrative Professional to join the Talent Support team within Human Resources. This role serves as the front-facing representative for HR and provides essential administrative support across the organization. As the primary point of contact at the front desk, the Administrative Professional ensures a welcoming, professional experience for employees and visitors while supporting smooth daily operations. This individual is a trusted partner to HR teams across the organization and demonstrates sound judgment, professionalism, and the ability to maintain confidentiality when handling sensitive information.

Requirements

  • High School Diploma or equivalent
  • At least 3 years of relevant administrative or customer-facing environments, or 1 year of internal HR experience

Responsibilities

  • Welcome and assist employees and visitors, ensuring smooth transitions to specialized HR resources when appropriate (e.g., Benefits Counselors, Immigration Manager).
  • Oversee building and floor access, including managing entry to the HR Collab space and SCPS location as needed.
  • Maintain an organized, professional, and inviting reception environment.
  • Deliver a warm, supportive experience while remaining composed and steady during moments of heightened emotion.
  • Manage traffic flow in times of increased volume for HR (including August/September for student I-9 sessions and October for Open Enrollment)
  • Oversee floor mail operations, including notifying HR team members of delivered packages, subpoenas, and other time‑sensitive correspondence.
  • Manage Salesforce Talent Support cases, triaging urgent compliance and payroll‑related inquiries to ensure timely follow‑up.
  • Provide logistical support for Orientation, including scheduling and coordinating HSO‑related speakers.
  • Assist with I‑9 document review and completion in accordance with compliance requirements.
  • Coordinate interview scheduling and conference room reservations for the HRSC – Talent Support team.
  • Support internal communications and assist with execution of HR events, including those hosted in the Marketplace.
