Requirements

  • High School Diploma or Equivalent (Required); Bachelor’s Degree (Preferred)
  • 3+ years of experience in administrative or personal assistant roles, especially in a remote environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and video conferencing tools (Zoom, Microsoft Teams).
  • Strong organizational skills with an ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and discretion when handling sensitive information.
  • Self-motivated with a strong attention to detail and the ability to work independently.
  • Proactive problem-solver who can anticipate needs and take initiative.
  • Tech-savvy and comfortable using various software and tools to manage remote work.
  • Ability to work flexible hours to accommodate different time zones (if applicable).

Responsibilities

  • Calendar & Schedule Management
  • Manage and coordinate complex calendars, ensuring meetings and appointments are organized, prioritized, and conflict-free.
  • Schedule appointments, meetings, and events for executives, making sure all logistics are handled.
  • Send reminders and confirmations for meetings and events.
  • Travel Coordination
  • Organize domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Handle last-minute changes or adjustments to travel plans as needed.
  • Ensure travel expenses are accurately tracked and documented for reporting.
  • Correspondence Management
  • Handle incoming and outgoing emails, letters, and phone calls on behalf of the executive(s), responding on their behalf or escalating when necessary.
  • Draft, proofread, and send emails and letters, ensuring professional communication.
  • Prepare and organize reports, presentations, and documents for meetings.
  • Task Management & Follow-Up
  • Assist in prioritizing daily tasks, projects, and deadlines to help the executive stay on track.
  • Proactively follow up on outstanding tasks and commitments, ensuring timely completion.
  • Help track progress on key projects and initiatives, providing status updates as needed.
  • Event Planning & Coordination
  • Organize virtual and in-person events, including meetings, conferences, and team-building activities.
  • Coordinate guest lists, logistics, and supplies for events.
  • Handle RSVPs and ensure the smooth running of events, virtually or in-person.
  • Document & File Organization
  • Create and maintain organized filing systems for both physical and digital documents.
  • Prepare and organize reports, spreadsheets, and other documentation as needed.
  • Ensure that confidential documents are handled appropriately and with discretion.
  • Personal Support
  • Assist with personal tasks such as scheduling personal appointments, managing household tasks, or handling personal errands.
  • Provide support with personal projects, ensuring that all necessary details are handled efficiently.
  • Communication & Liaison
  • Serve as a liaison between the executive and other team members, clients, or external partners.
  • Communicate effectively with all stakeholders on behalf of the executive, maintaining a professional tone and representing the company appropriately.
  • Technology & Software Management
  • Utilize productivity tools and software (Google Workspace, Microsoft Office, Zoom, etc.) to manage tasks and communication efficiently.
  • Troubleshoot and resolve basic technical issues with communication or scheduling tools.
