About The Position

St. Matthew Parish in Baltimore, MD, is seeking a qualified candidate for an Administrative Operations Coordinator. This part-time position (25 hours/week) will provide administrative and related support services primarily to the Pastor. Key responsibilities include managing social media, coordinating various parish councils and committees, and overseeing record-keeping for finance, building, and properties. The role aims to enhance efficiency and effectiveness within the Parish and support the Catholic Church's Mission. This position comes with benefits.

Requirements

  • Minimum of five years’ experience in an executive administrative or office manager position.
  • Demonstrated supervisory and team-building skills.
  • Advanced proficiency in Microsoft Office suite.
  • Willingness to learn platforms used by the Archdiocese (Ministry Platform, Canva, Microsoft Teams, etc.).
  • Demonstrated ability to establish priorities and organize work effectively.
  • Thorough knowledge of modern office practices and procedures, and the use of office machines and equipment.
  • Working understanding of the Catholic faith and Catholic teachings.
  • Ability to establish and maintain effective working relationships with diverse individuals.
  • Ability to project a positive, professional, and empathetic image.
  • Ability to maintain utmost confidentiality and professional demeanor.
  • Ability to communicate effectively orally and in writing.
  • Ability to take meeting minutes and transcribe them accurately.
  • Excellent verbal and written communication skills.
  • Ability to project a conservative and professional demeanor.

Nice To Haves

  • Within three to six months of date of hire, must demonstrate thorough knowledge of the policies, procedures, structure, and hierarchy of the Archdiocese of Baltimore and the ability to understand and interpret pertinent policies and procedures clearly and accurately.

Responsibilities

  • Compose, prepare, and distribute correspondence and other documents as instructed by Pastor, including parish mailings, parish-wide communications (website, social media), and meeting agendas/minutes.
  • Develop and implement communications to enhance Parish life.
  • Establish and maintain record-keeping and filing systems for the Parish’s records and correspondence.
  • Assist in the preparation of the Annual Archdiocesan Consolidated Report.
  • Convene staff periodically for collaboration and information exchange, sharing relevant information with the Pastor for follow-up.
  • Analyze current processes and procedures, suggesting and implementing improvements.
  • Provide back-up and as-needed assistance to other parish office staff members.
  • Perform other duties as requested or needed.
  • Manage the Parish website, Flocknotes, or similar social media platforms.
  • Convene, attend, and prepare agendas and minutes for meetings of collegial bodies (Staff, Pastoral Council, Finance Committee, etc.).
  • Assist with schedules, notifications, follow-up items, and other important details for collegial bodies.
  • Schedule, monitor, and organize requests for building inspections and Archdiocese deadlines and protocols.
