About The Position

Under the supervision of the Senior Academic Program Manager of Art + Design, the Administrative Officer, Office Operations & Events serves as the department’s primary resource for office operations, facilities and studio management, event coordination, onboarding, and administrative support, ensuring efficient day-to-day operations and a high level of service for faculty, staff, students, and visitors. Serving as the primary liaison between the department and university service partners, this position coordinates office and studio operations, facilities requests, onboarding logistics, and department events, including workshops, speaker series, award ceremonies, orientations, and guest travel arrangements. The role oversees front-office operations, supports department leadership through administrative coordination, and collaborates with campus partners to maintain safe, functional, and well-managed departmental spaces. The position exercises a high degree of independent judgment and problem-solving in managing complex operational activities and serves as a trusted resource to Art + Design faculty, staff, students, and university partners.

Requirements

  • Bachelor’s degree
  • Minimum of two to three years of administrative experience
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Strong organizational, analytical, and interpersonal skills, with exceptional attention to detail
  • Demonstrated ability to work effectively in a fast-paced, service-oriented environment, manage multiple priorities, and adapt to changing business needs, shifting priorities, and evolving processes

Responsibilities

  • Oversee the department’s day-to-day operations, ensuring efficient office administration, departmental communications, meeting logistics, and continuity of operations
  • Manage office and studio spaces, including facilities requests, capital improvement projects, keys and access, furniture, equipment, supply inventory, and space utilization
  • Coordinate with Facilities, Information Technology, Compliance, and Safety to maintain safe, functional, and technology-enabled departmental spaces
  • Oversee studio operations and maintenance, including scheduling, booking systems, and open studio hours
  • Serve as the primary front-office contact for faculty, staff, students, visitors, and prospective students, providing exceptional customer service and resolving operational inquiries
  • Provide administrative support to Department Chairs, including calendar coordination, meeting logistics, committee administration, departmental communications, and operational reporting
  • Coordinate the onboarding of new faculty and staff, including workspace setup, technology, university systems access, and departmental orientation
  • Hire, train, schedule, and supervise student office assistants
  • Supervise four temporary non-student (TNS) Figure Models and three Work-Study Office Assistants
  • Coordinate department and college events, including workshops, speaker series, award ceremonies, orientation, and department productions
  • Provide event support for year-end events, including commencement and student awards
  • Organize hotel, lunch, and dinner reservations for lectures and university guests
  • Archive and maintain records of event promotions and awards received
  • Collaborate with other Administrative Officers to develop standardized procedures and protocols for shared job functions to ensure consistency
  • Collaborate with other Administrative Officers to implement robust data management practices that ensure data accessibility and integrity, with a focus on office and space records
  • Collaborate with other Administrative Officers to create opportunities for cross-training on departmental practices, support Department Chairs, and promote broad efficiencies across the College
  • Collaborate with other Administrative Officers to provide office coverage during absences or scheduled paid time off (PTO)
