About The Position

The Support Center (TSC) Administrative Manager serves as a key member of the administrative and operations team, directly supporting the Senior Director of Operations and others in the administration, in the daily operations of YAP’s headquarters in Harrisburg. This role is essential in ensuring a welcoming, organized, and efficient environment for both staff and guests. The Administrative Manager will provide high-level support to YAP’s Administrative Leadership and oversee the smooth functioning of the TSC. Responsibilities include managing the front desk operations, coordinating with vendors, supporting on-site events, and assisting with special projects. The role also involves implementing new processes, offering feedback to improve operational efficiency, and fostering strong relationships with program-based staff. This individual will lead by example, delivering exceptional customer service to both internal and external stakeholders, and will play a key role in enhancing engagement and collaboration across the organization.

Requirements

  • High School Diploma or equivalent; post-secondary education preferred (e.g., certificate programs, college coursework, professional development)
  • Previous experience as an Office Manager or Administrative Assistant/Executive Assistant.
  • Strong organizational and administrative skills
  • Proven ability to work effectively with internal and external stakeholders
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
  • Excellent communication and customer service skills
  • Self-motivated and enthusiastic with a proactive approach
  • Ability to work independently and collaboratively as part of a team

Nice To Haves

  • Ability to navigate and manage database tools is preferred.

Responsibilities

  • Answer and direct incoming phone calls professionally.
  • Greet guests courteously, addressing inquiries, and directing them appropriately to ensure a seamless visitor experience.
  • Log, sort, and distribute incoming mail and packages
  • Handle outgoing mail and packages
  • Maintain a welcoming and organized front desk environment
  • Ensure all staff and guest needs are met promptly and professionally
  • Coordinate with vendors for services as needed
  • Support planning and execution of on-site events and meetings
  • Assist with special projects and administrative initiatives
  • Implement new processes and provide feedback to improve efficiency
  • Serve as a liaison between administration leadership and program-based staff
