About The Position

The Hollings Cancer Center’s (HCC) Shared Resource Administrative Manager serves as the lead administrator for Shared Resources (SRs) and is the administrative liaison for the SR Directors and Managers (SRDM). This role is also responsible for keeping SR Directors up to date on research programs and important initiatives from the Hollings Cancer Center’s (HCC) Executive Committee and strategic planning initiatives. The incumbent tracks usage metrics, maintains records of revenue and expenses, and ensures all SR websites are routinely updated (i.e., services, processes and pricing). Additional responsibilities include partnering with Training, Education and Career Development administration to lead SR training and educational events for Hollings members and trainees. The Shared Resources Administrative Manager is a critical member of HCC Administration assisting with the implementation of the Center’s strategic goals in conjunction with the AD of Shared Resources, AD of Research Administration, Center Director, and other Center and institutional leaders.

Requirements

  • A bachelor's degree and three years relevant program experience.

Responsibilities

  • Develop and implement business plans for shared resources to optimize efficiency and return on investment.
  • Collaborate with the Associate Director (AD) of Shared Resources, IT, and Facilities teams to monitor equipment maintenance, repairs, and contracts.
  • Ensure proper documentation and compliance for shared resource equipment surplus requests.
  • Assist the AD of Shared Resources and Shared Resource Directors in preparing metrics for External Scientific Advisory Board meetings, National Cancer Institute (NCI) site visits, annual progress reports, and competitive NCI Cancer Center Support Grant Renewals (CCSG).
  • Train new HCC users on financial systems, ensuring adherence to administrative standards and procedures.
  • Work with Cancer Center leadership to Identify high-priority research areas and opportunities for developing new shared resources.
  • Collaborate with Shared Resource Directors to develop annual operating budgets and track revenue and expenses for shared resources.
  • Provide quarterly financial reports to shared resource directors and HCC leadership.
  • Manage cost recovery mechanisms, subsidy allocations, and compliance with recharge policies.
  • Coordinate with the Procurement and Finance teams to oversee inventory requests and fund movement for shared resource operations.
  • Work with Shared Resource Directors and MUSC Central Finance to establish service rates agreements.
  • Supervise Shared Resource Program Coordinator(s) in managing data entry, publication tracking, recharge rates, chargebacks, and shared resource usage metrics.
  • Oversee scheduling and documentation for shared resource meetings and bi-annual director meetings.
  • Streamline reporting metrics using dashboards for communication with lab managers and HCC program members.
  • Measure progress toward strategic goals and performance outcomes aligned with the NCI CCSG directives.
  • Lead the development and dissemination of quarterly newsletters and annual surveys to promote awareness, transparency, and continuous improvement of shared resource services.
  • Analyze survey data and stakeholder feedback to generate actionable insights and present strategic recommendations to senior leadership for service enhancement.
  • Collaborate with the web development team to ensure timely and accurate updates of shared resource content on the HCC website, aligning with institutional priorities and user needs.
  • Assist with Cancer Center projects and perform any additional duties that aid in the mission and goals of the Cancer Center.
