About The Position

As an Administrative Assistant, you are often the first smile, first voice and first connection families experience at Encompass. You play a vital role in ensuring every interaction feels supportive, organized and positive. You’ll help create a seamless and caring experience for families, staff and visitors by greeting families and guests with warmth and professionalism, making everyone feel seen and valued. This role involves checking in clients, answering phones and emails, assisting with insurance information, managing appointment scheduling, rescheduling and cancellations, and maintaining and monitoring credentialing records for active and terminated speech-language, occupational/physical, and mental health therapists, ensuring licenses, certifications, registrations, and required documentation remain current and compliant with organizational and regulatory requirements. You will also support daily operations with filing, data entry and organization, coordinate interpreter services, order and maintain supplies, keep the lobby and shared spaces clean, safe, and welcoming, follow safety procedures, open and close the center, stay up to date on programs, classes and special events, partner with the rest of the Family Engagement Team on intake tasks, and support the Pediatric Therapy Team with front office coordination and basic facility needs.

Requirements

  • At least 2 years of relevant experience
  • A strong customer-service mindset with a genuine desire to help others
  • Excellent verbal and written communication skills
  • Ability to multitask and prioritize in a busy environment
  • Dependability and flexibility, including willingness to adjust hours to support the team
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite
  • Ability to maintain confidentiality and exercise sound judgment
  • A proactive, independent work style paired with a collaborative team spirit
  • CPR & First Aid certification (or willingness to obtain upon hire)
  • Valid driver’s license, insurance and reliable transportation

Responsibilities

  • Greeting families and guests with warmth and professionalism.

  • Coordinating interpreter services to ensure accessible care for all families.
  • Ordering and maintaining facility, office and janitorial supplies.
  • Keeping the lobby and shared spaces clean, safe, and welcoming.
  • Following safety procedures to support a secure environment for all.
  • Opening and closing the center with attention to detail.
  • Staying up to date on programs, classes and special events to better support families.
  • Partnering with the rest of the Family Engagement Team on intake tasks.
  • Supporting the Pediatric Therapy Team with front office coordination and basic facility needs.
  • Jumping in wherever needed to support the Encompass team.
