About The Position

Our client is seeking a detail-oriented Administrative Coordinator to support their President and help drive day-to-day operations. In this role, you’ll act as a trusted right hand to leadership—ensuring schedules run smoothly, communications are handled efficiently, and key priorities stay on track. From managing an executive calendar and coordinating meetings to supporting accounting processes and office operations, you’ll play a pivotal role in keeping the business running seamlessly. You’ll also partner closely with the Business Manager to assist with back-office functions, including accounts receivable, vendor coordination, and operational logistics. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, team-oriented environment. You should be comfortable juggling multiple priorities, communicating across teams, and handling sensitive information with discretion. Our client is a growing IT organization with a collaborative, close-knit culture. Requirements

  • 3+ years of administrative support experience required
  • Professional services industry experience required
  • Highly organized with strong time management and multitasking abilities required

  • Strong written and verbal communication skills required

Responsibilities

  • Manage the President’s calendar, meetings, communications, and daily priorities
  • Prepare correspondence, agendas, meeting materials, and track follow-ups/action items
  • Serve as a primary admin point of contact for leadership and internal/external stakeholders
  • Process incoming payments in QuickBooks,
  • Manage deposits, and handle A/R follow-ups and collections
  • Assist with payroll coordination and support insurance administration
  • Partner with the Business Manager to support daily office operations, deadlines, and documentation
  • Coordinate vendors, facilities, and office operations including supplies, services, and compliance
  • Maintain company vehicle records, scheduling, and compliance requirements
  • Support event coordination, shipping/packaging needs, and general operational projects
