About The Position

The Administrative Coordinator will support the Pedi Neurosciences department. This role involves complex dual-system scheduling, managing global travel and expense logistics, leading financial administrative operations, orchestrating high-impact events and conferences, driving project and clinical support initiatives, and managing departmental continuity through supply procurement and serving as a primary point of contact for guests and visiting clinicians.

Requirements

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
  • Proven Administrative Mastery: Significant experience as an Administrative Assistant, specifically supporting clinical practices, providers, or senior healthcare management.
  • Healthcare Industry Acumen: A deep understanding of the nuances within a clinical or academic medical environment.
  • Event & Project Coordination: A track record of successfully planning events and managing project-based workloads with minimal supervision.
  • Technical Agility: The ability to navigate multiple complex calendar systems

Responsibilities

  • Execute Complex Dual-System Scheduling by managing sophisticated calendars across both UT and Ascension platforms to ensure seamless coordination for providers and employees.
  • Direct Global Travel & Expense Logistics by orchestrating professional travel arrangements and managing the end-to-end reimbursement process with strict adherence to institutional policies.
  • Lead Financial Administrative Operations by overseeing accounts payable and receivable functions to maintain departmental fiscal health.
  • Orchestrate High-Impact Events & Conferences by spearheading the planning, coordination, and physical setup of departmental meetings and guest conferences.
  • Drive Project & Clinical Support Initiatives by providing high-level administrative assistance to clinical managers and providers, ensuring specialized projects stay on track and organized.
  • Manage Departmental Continuity by directing supply procurement and serving as the primary professional point of contact for guests and visiting clinicians.
