About The Position

Indiana University Health Medical Group is seeking a curious, adaptable, and professionally grounded Administrative Coordinator to serve as the executive administrative backbone for the Chair/Vice Chair of Pathology at IU Health. This is a new position supporting a complex leadership environment within a department of over 250 individuals, including more than 130 faculty members, and a pathology and laboratory operation spanning 18 hospitals with approximately 1,400 FTE across IU Health, IU Health Medical Group, and Indiana University. The role's purpose is to bring order, judgment, and steady support to the leadership team. The position provides executive administrative support to the Chair of Pathology and Laboratory Medicine and the broader department leadership team.

Requirements

  • Bachelor's Degree or equivalent years of experience is required.
  • Requires 3-5 years of relevant experience.
  • Requires intermediate experience in receiving, analyzing, and interpreting complex data and information.
  • Requires advanced proficiency in MS office (Word, PowerPoint, Excel).
  • Strong written communication skills required

Nice To Haves

  • Experience with a matrix organization and complex work environment is preferred.
  • Prior experience in a healthcare, health system, or physician practice environment is a meaningful plus

Responsibilities

  • Serving as the executive administrative liaison for the Chair
  • Managing the Chair and Vice Chair for Administration's calendars with high autonomy
  • Taking meeting minutes and tracking project deliverables and progress for the Chair
  • Running the annual faculty review process for the Chair
  • Synthesizing data from multiple sources into polished PowerPoint presentations for the Chair and executive leadership team
  • Editing, reviewing, and rewriting communications and documents on behalf of the Chair and executive team
  • Planning and executing large scale department events
  • Setting up technology in meeting rooms prior to the Chair's meetings
  • Managing facilities related duties within the IU Health Lab Service ecosystem, including building and garage access issues and fire alarm coordination
  • Supporting purchasing and event logistics as needed
  • Working collaboratively alongside other administrative support teams
