About The Position

Anova Health Care System is seeking an Administrative Coordinator for their Carnegie office. This role is crucial for the organization and efficiency of a busy, mission-driven hospice team. The ideal candidate will be adept at managing administrative tasks, improving processes, and interacting warmly with various stakeholders, including referral sources, families, physicians, and clinical staff. Requirements

  • Four years of general office and administrative support experience, OR two years plus an associate degree in business or a related field.
  • One year of experience in a healthcare setting, preferably with scheduling experience.
  • Proven ability to work independently and manage multiple projects in a timely, accurate, and confidential manner.
  • Clear, logical thinking with sound judgment to analyze issues and carry out responsibilities.
  • Extensive experience with Microsoft Word and Excel required.
  • Excellent written and verbal communication skills and the ability to work harmoniously with a wide variety of people and personalities.
  • A natural problem-solver with strong observation skills and the instinct to recognize improvement opportunities.

Nice To Haves

  • Associate's degree, Bachelor's degree, or a combination of professional experience and college coursework.
  • EMR (Electronic Health/Medical Record) experience preferred.

Responsibilities

  • Prioritize the intake of daily referrals to guarantee timely patient admission.
  • Answer and respond to multiple calls (inquiry, intake, family members, healthcare providers) promptly and courteously.
  • Check and follow up on referrals on a daily basis.
  • Enter referral information, including medical and insurance details, into KanTime.
  • Verify and obtain physician orders and document Certificate of Terminal Illness (CTI) information on referrals in the EMR system.
  • Ascertain the patient's insurance to correctly assign the payer within the EMR system.
  • Keep Pharmacy and the Pharmacy Benefits Manager (PBM) informed of admissions as needed, faxing necessary documents.
  • Communicate with medical professionals, the hospice team, and others to address patient concerns, risks, and issues.
  • Apply Medicare and State hospice regulations when accepting a referral to ensure full compliance.
  • Prepare Start of Care (SOC) packs for clinicians.
  • Track patient consents and upload them into the EMR system in a timely fashion.
  • Collect and log all medical invoices related to patients on service.
  • Maintain the supply closet to ensure adequate stock and removal of expired supplies.
  • Monitor required Face-to-Face (F2F) visits and notify the Nurse Practitioner one month in advance.
  • Contact patients and families upon admission to coordinate care initiation or consent obtainment.
  • Collaborate with physicians and nurses to support medical examinations, schedule tests, and order supplies.
  • Identify and recommend opportunities to improve workflows and processes across the office.
  • Maintain confidentiality of patient and organizational information at all times.
