About The Position

At Just in Time for Foster Youth (JIT), we're creating opportunities for transition-age foster youth to build stable, connected, and thriving futures. We're looking for an Administrative Coordinator who can create an exceptional experience for everyone who enters or connects with JIT, from participants and volunteers to staff, investors, and community partners. This is a people-centered role for someone who enjoys creating order, solving problems, keeping things moving, and making sure people have what they need to engage with JIT successfully. The Administrative Coordinator is a key part of the Youth Services team, helping maintain a welcoming, organized, and resource-ready environment across JIT's office spaces. Working closely with Youth Services Coordinators, Impact Measurement, Operations, and other members of the team, you'll support day-to-day office operations, participant engagement, resource distribution, scheduling, communication, and accurate data management. This is a hands-on role for someone who is approachable, organized, calm under pressure, and energized by being the person who helps people find their way, get connected to the right resources, and have a positive experience with JIT.

Requirements

  • 3+ years of related experience in office administration, front-desk coordination, outreach, customer service, or a similar role preferred
  • 1+ year of CRM data-entry experience; Salesforce strongly preferred
  • Strong proficiency with Microsoft 365 and familiarity with Zoom, Teams, and other virtual platforms
  • Excellent communication, organization, time-management, and problem-solving skills
  • The ability to manage multiple priorities while maintaining accuracy and follow-through
  • Strong judgment and discretion when handling confidential information
  • Experience building positive relationships with people from diverse backgrounds

Nice To Haves

  • A bachelor's degree is preferred
  • Personal knowledge of the foster care system or related experience is a plus

Responsibilities

  • Serving as a welcoming first point of contact for participants, volunteers, investors, partners, and visitors in person, by phone, text, and email
  • Managing front desk operations and maintaining an organized, welcoming, and resource-ready office environment
  • Helping participants connect with staff, resources, office services, and community opportunities
  • Distributing food, gas cards, participant checks, and other resources in accordance with JIT procedures
  • Supporting participant and alumni outreach, onboarding, engagement, retention, and community-building events
  • Managing Youth Services email, phone, and Zoom communications and ensuring timely, thoughtful responses
  • Supporting Youth Services scheduling, staff onboarding, training, team milestones, and administrative needs
  • Managing office, kitchen, and facility inventory, supplies, equipment, and shared spaces
  • Maintaining accurate records related to participant visits, resource distributions, inventory, and volunteer hours
  • Entering and maintaining sensitive information accurately and confidentially in Salesforce and other systems
  • Partnering with administrative and program teams to keep day-to-day operations running smoothly
