About The Position

The ASPIRE Administrative Coordinator is a detailed-oriented administrative professional who supports the ASPIRE Program Director and the ASPIRE Program through effective execution of wide-ranging and multi-faceted administrative duties and projects. The Administrative Coordinator proactively and independently performs a full range of administrative tasks and responsibilities to assist the ASPIRE Program to run efficiently and effectively. The Administrative Coordinator applies exceptional organizational and communication skills to the daily execution of job responsibilities, with particular emphasis on effective collaboration with funding sources. Requirements

  • Associates degree required, Bachelor’s degree preferred
  • Minimum of 3 years professional experience in comparable roles
  • Has excellent judgment, poise and professionalism
  • Demonstrated strong project management skills and the ability to handle multiple projects simultaneously
  • Appreciates and enjoys bringing a high-level of detail and accuracy to all tasks
  • Technology adopter with proficiency in Microsoft Office Suite applications

Responsibilities

  • Proactively supports the ASPIRE Program Director in management of their business calendar, scheduling meetings, planning and supporting meetings, program events, and other engagements.
  • Takes initiative to follow up on deadlines and commitments.
  • Establishes and maintains effective systems for managing tasks, projects, and reporting data to support program goals, outcomes, and continuous improvement.
  • Manages details for program meetings and events including calendar invitations, communications, refreshments, agendas, meeting minutes, action items and securing space and room setup for in-person meetings/events, including coordinate with CFS’s Marketing & Development Department.
  • Assists the ASPIRE Program Director in the creation and distribution of presentations, event flyers, and other written or digital communications for both internal and external audiences.
  • Performs general office tasks including ordering supplies, greeting employees and visitors, booking speakers and venues, and ordering all food and other items for events.
  • Takes responsibility for additional tasks and new initiatives, as requested by the ASPIRE Program Director and other ASPIRE team members, with a willingness to assist in the spirit of teamwork and cooperation.

  • Travel as needed among CFS locations and ASPIRE Events.
