About The Position

Labcorp is seeking a reliable, motivated, and highly organized Administrative Coordinator to support our growing Medical & Scientific Affairs team in Indianapolis. This individual will help medical directors work efficiently as part of a global team advancing clinical trials, drug development, and innovative laboratory science. The Administrative Coordinator will provide essential onsite support to the Medical & Scientific Affairs team while coordinating closely with remote colleagues and individuals at other Labcorp locations. The ideal candidate is proactive, discreet, proficient with technology, and committed to providing responsive, high-quality support in a fast-paced professional environment. Requirements

  • Experience providing administrative, departmental, executive, office, or coordination support.
  • Proficiency in written and spoken English, proficiency with Microsoft software including outlook, excel, word, PowerPoint, and ability to learn and utilize other software platforms required for listed duties.
  • Strong proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and virtual-meeting tools.
  • Ability to interact professionally with senior leaders, colleagues, visitors, vendors, and cross-functional teams.
  • Ability to learn new systems and adapt to changing priorities.
  • Excellent organizational, written communication, and time-management skills.
  • Strong attention to detail, discretion, and sound judgment.
  • Proficiency in spoken and written English.
  • Punctual and dependable attendance is essential.
  • Must follow all site safety, confidentiality, data-privacy, and compliance requirements.
  • Required personal protective equipment must be used when entering designated laboratory areas.

Nice To Haves

  • An associate’s degree or significant experience as an Administrative Coordinator.
  • Experience supporting leaders in healthcare, biotechnology, pharmaceuticals, laboratories, clinical research, or another scientific or medical environment.
  • Experience coordinating travel, expenses, procurement, purchase orders, invoices, or suppliers.
  • Familiarity with laboratory operations, medical or scientific terminology, CLIA, CAP, or continuing education requirements.
  • Familiarity with workflow, project-management, or document-control tools such as Workfront and Veeva.

Responsibilities

  • Manage leadership calendars and coordinate team activities across locations and time zones.
  • Schedule meetings, events, visitors, conference rooms, and virtual sessions.
  • Prepare agendas and materials, document action items, and track follow-up.
  • Communicate schedule changes promptly and accurately.
  • Coordinate travel arrangements, itineraries, documentation, and changes.
  • Prepare, submit, and track expense reports.
  • Maintain supporting records and follow up on approvals or missing information.
  • Prepare and track purchase orders, invoices, and related documentation.
  • Coordinate with suppliers and internal Procurement and Finance teams.
  • Monitor office supplies, inventory needs, and open requests.
  • Coordinate mail, shipments, copying, scanning, filing, supplies, and workspace needs.
  • Maintain department records, distribution lists, training files, and document workflows.
  • Support onboarding by coordinating workspaces, badges, accounts, equipment, access, forms, and training assignments.
  • Track administrative tasks through completion and escalate delays appropriately.
  • Support audiovisual equipment, virtual meetings, and presentation readiness.
  • Use Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and related business tools effectively.
  • Escalate complex technical issues to IT or the appropriate system owner.
  • Learn and use new workflow and document-management platforms.
  • Initiate and track requests with internal support teams.
  • Coordinate effectively with onsite and remote colleagues across Labcorp locations.
  • Keep stakeholders informed of progress, delays, and next steps.
  • Build productive relationships with internal and external partners.
  • Apply sound judgment when resolving issues or escalating barriers.
