About The Position

The Department of Administration's (Admin) Chief of Staff office is seeking an enthusiastic Administrative Coordinator to join our Learning and Organizational Development (LOD) team. The LOD team fosters the coordination and delivery of professional development and training initiatives for state employees. In this role, you will provide efficient and reliable administrative support for the Learning and Organizational Development team, working to ensure the delivery of accurate, precise and effective services to all customers. This role is ideal for an individual with exceptional communication and organizational skills and focused on facilitating engaging, learner-centered experiences. This position is onsite in Columbia, SC.

Requirements

  • A high school diploma and at least two (2) years of relevant experience in administrative services.
  • Proficiency using MS office.
  • Familiarity with the use of current technology systems (LMS).
  • Exceptional organizational skills to assist in complex processes (i.e. inputting information on spreadsheets and other electronic documents).
  • Experience in general office management.
  • Experience in providing high level coordination support.

  • A bachelor's degree may be substituted for the required work experience.

Responsibilities

  • Process billing for LOD team training services, prepare invoices, coordinate payments for contracted instructors, and monitor invoices to ensure timely payment.
  • Maintain supplies and coordinate necessary expenses.
  • Coordinate training logistics by researching and reserving training venues, preparing instructor and training contracts, and providing administrative support and back-up assistance for training programs, as needed.
  • Prepare and process financial and metrics reports.
  • Coordinate the LOD team's technology resources by monitoring equipment needs, including laptops and mobile devices, and managing related purchases as needed.
  • Maintain and update training and participant information within the Learning Management System.
  • Serve as a liaison and coordinate with Facilities Management and Parking Services for related requests and services to support.
  • Perform other related duties as required.
