About The Position

Texas A&M University's Department of Chemistry is seeking an Administrative Coordinator I to provide a wide variety of administrative, secretarial, and program support functions on behalf of departmental faculty. As a member of the Department's Center for Administrative Support, this position, under general supervision, coordinates administrative operations, communications, travel, financial and research-related activities, event logistics, and instructional support while serving as a key resource for faculty, staff, students, and external stakeholders.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of experience in office administration.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organization skills.

Responsibilities

  • Manages administrative communications, correspondence, documentation, presentations, and data management activities while providing technical support to faculty, staff, and students.
  • Coordinates complex travel arrangements, itineraries, leave requests, and reimbursement processing for faculty, research personnel, distinguished visitors, and external stakeholders.
  • Plans, coordinates, and provides logistical and administrative support for seminars, symposia, conferences, workshops, and other departmental events while serving as the primary liaison for participants and stakeholders.
  • Coordinates research administration activities including budgeting, procurement, personnel transactions, financial account management, grant proposal preparation, post-award administration, and funding agency reporting.
  • Supports research dissemination efforts by managing publication-related administrative activities, proofreading materials, and coordinating website maintenance and updates.
  • Provides administrative support for academic courses by assisting students, scheduling appointments, maintaining records, preparing instructional materials, and coordinating examination logistics.
  • Identifies, develops, and implements process improvements to enhance operational efficiency, service delivery, and program effectiveness.
