About The Position

The Administrative Coordinator for Activity Center role is responsible for coordinating, supporting, and ensuring the continued thriving of the activity center program administered through Silver Key at the S. Murray location. This entry-level position is integral to fostering a vibrant and welcoming environment at the center. The role supports day-to-day operations, including administrative tasks, engaging with members to enhance their experience, supporting instructors, community partners, and volunteers to ensure effective program delivery, and maintaining the integrity of services.

Requirements

  • Minimum of a High School Diploma
  • Four years of related experience and/or training; or equivalent combination of education and experience.
  • Proficiency with Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint as well as various platforms such as mobile, laptop, desktop, and tablets.
  • Excellent interpersonal and human relations skills required.
  • Excellent written and verbal skills.
  • Must maintain a current, valid Colorado Driver's License.
  • Must maintain the state issued minimum automotive liability insurance coverage.
  • Knowledge of Silver Key Senior Services mission statement, policies/procedures, business-specific software and safety regulations.
  • Must pass all required background checks.
  • Good proficiency in the use of computer software and applications, office equipment, and professional telephone use.
  • Ability to type quickly with few to no errors.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to effectively present information to top management, public groups and/or boards of directors.
  • Ability to work with mathematical concepts such as probability and statistical inference.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must possess and maintain a Colorado Driver's License.
  • Must be able to lift up to 25 pounds as needed.
  • Position requires close, distance and peripheral vision.
  • Must pass drug test and background check prior to hire and periodically during employment as determined by organization standards as well as State and Federal contracting requirements.

Responsibilities

  • Answer phones, respond to emails, greet visitors, and provide excellent customer service to members, volunteers, instructors, and community partners.
  • Assist with member registrations, renewals, activity sign-ups, and other front desk functions.
  • Maintain accurate member, volunteer, attendance, program, and donation records within the activity center software system; perform data entry and generate reports as requested.
  • Create, maintain, and distribute a monthly activities calendar using Canva.
  • Schedule and coordinate activities, classes, and events tailored to the interests and needs of senior members.
  • Collaborate with instructors, volunteers, and community partners to plan and deliver quality programs and services.
  • Coordinate event logistics, including member communication, room setup, scheduling, and related event requirements.
  • Collect and maintain required documentation from members, instructors, and volunteers, as applicable.
  • Supervise volunteers to ensure successful program delivery.
  • Conduct tours for prospective and new members and provide information regarding programs, services, and activities.
  • Build and maintain positive relationships with members to foster a welcoming, inclusive environment and support member retention.
  • Maintain and increase member participation through quality programming and engagement.
  • Prepare reports and provide updates to the Director as required.
  • Participate in monthly Advisory Committee meetings.
  • Perform other duties as assigned.
  • Regularly interact and engage with volunteers, showing appreciation for their efforts and occasionally providing guidance.
  • May occasionally be required to drive on behalf of Silver Key Senior Services.
  • Observe and obey all federal, state, and local traffic laws.
  • Responsible for the proper function and maintenance of any Silver Key vehicles used in performing assigned duties.
