About The Position

Under the direction of the Department Director of Medical Student Education/Clerkship Director, the Clerkship Coordinator provides administrative and operational support for the medical student clerkship program. The position works closely with the Clerkship Director, faculty, residents, clinical sites, students, and administrative leadership to ensure the effective delivery, coordination, and continuous improvement of the clerkship. This position coordinates medical students and other approved health care professional students’ rotations. The ideal candidate is highly organized, dependable, responsive, service-oriented, and comfortable working with diverse stakeholders. This is a full-time position, Monday through Friday.

Requirements

  • High School Diploma or equivalent required
  • Minimum of two years as an administrator in an office setting required
  • Professional verbal and written communication skills.
  • High level of accuracy in record keeping, data entry, and communications.
  • Excellent organizational, time, and project management skills.
  • Effectively work independently and collaboratively.
  • Navigate through operational challenges, addressing as proactively as possible.
  • Proficiency in Microsoft Office Suite (Ex: Word, Excel, and Outlook)
  • Ability to manage multiple priorities and deadlines.
  • Strong interpersonal skills and ability to work effectively with students, faculty, physicians, and administrative staff.

Nice To Haves

  • Bachelor’s degree or equivalent combination of training, education and experience preferred
  • Experience working in academic medicine and medical education, Healthcare administration, or clinical education environment is preferred

Responsibilities

  • Coordinates the day-to-day operations of medical student rotations
  • Executes a variety of administrative functions relative to the application request and check-in processes of medical and PA students, shadowers, and rotating residents. This involves confidential and sensitive Documents.
  • Maintain the clerkship calendar, schedules, orientation activities, and student assignments.
  • Coordinate student placements across inpatient, outpatient, emergency, and affiliated clinical sites.
  • Ensure that students receive required schedules, orientation materials, syllabi, policies, and other educational resources.
  • Monitor student attendance, required activities, and completion of clerkship requirements.
  • Provides rotating student with efficient access, permissions, and timely and necessary communications and resources to support a successful orientation, program, and offboarding experience.
  • Monitor completion of student evaluations by faculty and clinical preceptors. Track outstanding evaluations and follow up as needed.
  • Assist with examination administration, quizzes, assignments, OSCEs, simulation activities, or other assessments.
  • Assists With schedule development and implementation of the clerkship syllabus and curriculum
  • Supports the Clerkship Director with preparation of educational materials and reports
  • Coordinates meetings as program requires or is requested, ensuring timely and supportive communications/resources are provided to stakeholders.
  • Builds and maintains relationships that benefit Valleywise Health with coordinators from Medical Schools.
  • Remains a key point of contact for the schools for communications, inquiries, and relaying of pertinent information or data.
  • Acts as a liaison between Valleywise and DMG for student-related administrative matters.
  • Assist with preparation for curriculum reviews, accreditation activities, and departmental audits
  • Other duties as assigned.
