Requirements

  • High school diploma
  • One year experience in secretarial/office position performing clerical tasks and PC experience.

Responsibilities

  • Performs standard clerical duties including: sorts mail, answers phones and returns calls, greets visitors, maintains files, makes copies, and mails correspondence.
  • May also be responsible for taking meeting minutes and scheduling appointments for the department.
  • Able to operate all office equipment.
  • Able to perform all file maintenance and data entry using department computer applications.
  • Maintains adequate level of office supplies, ordering additional supplies according to procedures.
  • Reviews invoices for validity. Questionable invoices should be researched and brought to the attention of the supervisor.
  • May coordinate staff educational requests according to procedure.
  • Maintains record for education budget.
  • Maintains department filing system and continually organizes information as needed or as requested by the supervisor.
  • Maintains reports and statistics as assigned.
  • May maintain system that ensures department has copies of current licenses.
  • May perform reception duties including greeting patients, scheduling appointments and obtain necessary information as required.
  • May maintain and file medical record, coordinate lab work, physician's reports, x-rays, etc.
  • Distributes medical reports as assigned.
  • Ensures that CPSP client records are complete, current and readily accessible.
  • Develops and maintains system for prenatal education class scheduling and participant registration.
  • Develops and maintains inventory for prenatal educational materials.
  • Answers questions on-site and telephone inquires regarding breast feeding/lactation.
  • Advises clients on basic consultation and refers to the Health Educator for further education.
  • Refers clients to on-site MCH IBCLC or CLC for one-on-one assistance.
  • Takes phone messages and assists with scheduling appointments for same.
  • Orders medical, capital, and small supplies, office supplies, and equipment for the clinics.
  • Enters and tracks work orders and ISS tickets.
  • Provides back up support to the Administrative Assistant.
  • Handles day-to-day duties.
  • Handles day-to- day operational issues with key leadership within service in absence of the manager.
  • Requires discreet & confidential handling of situations. Always respects the nature of confidentiality.
  • May maintain and file medical records and lab results.
  • Performs data entry of new referrals and confirming insurance status.
  • Prints and organizes plans of treatment prepared by clinicians.
  • Performs other clerical duties as assigned.
  • Demonstrates the knowledge and skills necessary to provide care and services appropriate to the population served on the assigned unit or work area.
  • Performs other duties as assigned.
