JOB PURPOSE: Under minimal supervision, support the management of operational, financial, personnel, and planning activities for the Dean’s Office. This role requires significant independent judgment, creativity, and strong management and interpersonal skills. Independently manage and coordinate complex administrative tasks that significantly influence both internal and external operations of the Dean’s Office and the College of Agriculture, Life Sciences, and Natural Resources.

Requirements

  • Bachelor’s degree or the equivalent of education and experience.
  • 2 years progressively responsible work-related experience
  • Valid driver's license with a motor vehicle record (MVR) compliant with the Driving for University Business SAP .
  • Applicants must include the average hours worked per week for all current and previous positions. Failure to provide this information may affect the evaluation of qualifications.
  • The successful candidate must be eligible to work in the United States. Sponsorship for H-1B work authorization or work visa is not available for this position.

Responsibilities

  • Independently oversee and perform complex administrative tasks that substantially impact both internal and external operations of the Dean’s Office.
  • Provides complex administrative support for the Dean, and Director of External Relations, and other staff in the Dean’s Office.
  • Manage all aspects of administrative support for the Dean’s Office team.
  • Coordinate the Dean’s complex calendar.
  • Organize travel arrangements for the Dean and Director of External Relations, including in-state, out-of-state, and international travel.
  • Schedule department faculty candidate meetings with the Dean and Associate Deans – coordinating several calendars.
  • Manage key database for the Agriculture building, providing room and building access to employees and students.
  • Manage email list serves for the college.
  • Manage communication out of the Dean’s Office which includes newsletters, and new employee introductions to the college via email.
  • Serves as a main contact for the Dean’s Office with other University departments, external individuals, and groups.
  • Manage service requests, requests for estimates, and property disposal requests with UW Operations.
  • Provide project leadership and/or support for several internal and external events, including event logistics, create all marketing and publicity, budget planning, and day of event logistics.
  • Main point of contact for all events.
  • Create follow-up assessment of events and meetings.
  • Oversee and process Dean’s Office financial operations.
  • Monitor and submit expense reports for all Dean’s Office team members.
  • Submit reimbursements for Dean’s Office team.
  • Submit and manage the contract process for the Dean’s Office.
  • Process Honorariums.
  • Process IDT’s, Form 100’s and 300’s.
  • Monitor and make recommendations regarding sponsorships.
  • Manage gift reports and other processes from the UW Foundation.
  • Disperse gift reports to the departments.
  • Create thank you letters from the Dean’s Office, arranging for personal comments from the Dean, as appropriate.
  • Distribute thank you letters.
  • Manage the collection of fund information for reports prepared by the Foundation. Examples include the endowment report, and the Y-Cross Scholarship report.
  • Dean’s Office liaison with department office associates on a variety of processes.
  • Organize and schedule administrative staff meetings.
  • Update office associate college onboarding guide, college/department directories, etc.
  • Conduct research and address complex inquiries at the request of the Dean.
  • Prepare presentations and reports at the request of the Dean.
  • Serve on University or external committees representing supervisor or program, as directed.
  • Maintain confidentiality.
