About The Position

The Administrative Associate IV provides advanced administrative and operational support to the Associate and Assistant Vice Presidents within the Division of Research & Innovation. Working under general supervision, this position coordinates executive calendars, schedules meetings and travel, and assists with the planning and execution of meetings, seminars, and special events. The position supports the efficient operation of the division by coordinating office procedures, maintaining records and reference materials, managing office resources, and serving as a point of contact for visitors, faculty, staff, and external stakeholders. The Administrative Associate IV exercises discretion in handling confidential information, communicates and applies departmental policies and procedures, and supports administrative functions necessary to meet the needs of a growing and dynamic research enterprise. The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.

Requirements

  • High school diploma
  • Four years of related experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Strong verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Ability to work with sensitive information and maintain confidentiality.

Responsibilities

  • Provides advanced administrative support to the Associate and Assistant Vice Presidents for Research & Innovation (AVPs).
  • Manages calendars, schedules, and coordinates meetings, appointments, conferences, and travel arrangements for AVPs.
  • Assists in the planning and execution of meetings, seminars, and special events, including coordinating facilities, equipment, and catering.
  • Develops, interprets, communicates, and monitors compliance with office policies and procedures.
  • Coordinates office operations, including management of files, records, office supplies, equipment, and reference materials.
  • Serves as a liaison for departmental equipment and service contracts.
  • Greets visitors, answers and screens calls, and provides information and referrals.
  • Receives, sorts, distributes, and manages incoming and outgoing mail, documents, and materials.
  • May assist in supervising student workers and support staff, including handling confidential matters.
  • Performs other duties as assigned.
