About The Position

This role is for an Administrative Associate IV to join the Finance Administrative team. The position involves supporting several Finance Directors and their teams, assisting with strategic initiatives, and driving success. The Finance Strategic Capabilities Unit aims to increase enterprise value by providing actionable information and recommendations for sustainable business growth. This is an on-site position requiring regular in-person engagement, working at least three days a week at the primary work location. Travel and local commute between company campuses may be required. The work environment is typically an office setting, but can also include laboratory, cleanroom, or production floor settings.

Requirements

  • High School diploma or equivalent plus 3 years or more related experience.
  • Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience.
  • Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Professional demeanor and work habits.
  • Independence and initiative - by working with some degree of independence in terms of scheduling, job duties, and taking initiative when seeing things that need to be done.
  • Demonstrated application of judgment within standard operating guidelines.
  • Use knowledge of company policies and department needs to determine the best course of action.
  • Good communication skills by responding to routine and non-routine inquiries.

Responsibilities

  • Provide dynamic onsite administrative support to several Finance Directors and their teams, ensuring seamless day-to-day operations.
  • Manage calendar management, scheduling meetings, maintaining calendars, and making conference room reservations using Outlook and Microsoft Teams.
  • Provide meeting support, maintaining calendars and assisting during meetings for designated team members.
  • Coordinate security access for visitors, creating a welcoming experience for vendors and customers.
  • Collaborate with teams and projects, contributing to their success.
  • Facilitate training sessions, ensuring engaging and effective learning experiences.
  • Manage data, preparing statistical reports, gathering and interpreting data, and maintaining databases.
  • Prepare written documents, communications, and presentation materials.
  • Plan and execute milestone celebrations, all-hands meetings, and networking events.
  • Champion the adoption of collaboration tools to improve team efficiency.
  • Coordinate office supplies, office moves, new hire onboarding, and termination closeouts.
  • Troubleshoot IT and facilities issues and report needs.
  • Manage travel, expense reports, and catering.
  • Oversee financial management, coordinating payment of invoices and other expenditures.
  • Provide support on projects in various functional/program areas.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Share knowledge and expertise with junior-level employees, providing training and mentorship.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, Strategic Business Units, Strategic Capabilities Units, and the Company.
  • Interact appropriately with others to maintain a positive and productive work environment.
  • Perform other duties as necessary.
