About The Position

The Administrative Associate III, under general supervision, provides complex administrative support work. This role involves a wide range of duties including performing word processing, desktop publishing, presentation, and data management activities, and assisting staff with these applications. The associate will compose correspondence, reports, publications, and presentations, including editing and proofreading, and create and maintain spreadsheets and databases. Key responsibilities also include greeting visitors, managing calls, providing information and referrals, and scheduling appointments. The position handles mail services, researches administrative requirements for programs, and provides technical information on administrative procedures. It requires applying, interpreting, and communicating policies, maintaining various records, and processing documents. The Administrative Associate III will also make arrangements for meetings, conferences, and travel, manage office supplies and equipment, and monitor departmental equipment inventory. They may coordinate and supervise student workers and support staff and collaborate with administrative staff in other departments within the College of Science and Engineering.

Requirements

  • High school diploma or equivalent combination of education and experience.
  • Three years of related experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Strong verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Ability to multitask and work cooperatively with others.
  • Ability to work with sensitive information and maintain confidentiality.

Nice To Haves

  • Degree preferred.
  • Administrative support experience in higher education.
  • Knowledge of and experience with Workday, Emburse Expense, FAMIS/Canopy, Banner, and CourseLeaf.
  • Familiarity with Microsoft Office and Adobe software.

Responsibilities

  • Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications.
  • Composes correspondence, reports, publications, and presentations, including editing and proofreading.
  • Creates and maintains spreadsheets and databases.
  • Greets visitors, answers and screens calls, provides information and referrals, and schedules appointments.
  • Receives, sorts, and routes mail and performs other mail services.
  • Researches and analyzes administrative requirements for specific programs or projects.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
  • Maintains a variety of fiscal, administrative, and academic records.
  • Posts information to agency records and modifies forms or records.
  • Verifies, processes, and reviews forms, reports, and other documents.
  • Makes arrangements for meetings, appointments, conferences, and travel.
  • May set up meetings, seminars, and other special events to include facilities, equipment, and food.
  • Maintains office supplies and equipment.
  • Maintains office reference materials including online office materials.
  • May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
  • Monitors departmental equipment inventory, including conducting the annual physical inventory.
  • Coordinates with Property Management to properly report all property transfers, property deletions, and missing, damaged or stolen property.
  • May coordinate activities and assign work to student workers and support staff.
  • May participate in the hiring training, and supervision of student workers and other support staff.
  • Collaborates with administrative staff in other departments and offices in the College of Science and Engineering on mutual administrative assignments and tasks.
  • Participates in Budget User Group meetings and other university administrative meetings and training.
