About The Position

The NC Department of Administration serves as the business manager for North Carolina state government, overseeing various government operations including building construction, purchasing, facilities maintenance, vehicle management, real property acquisition and disposal, and auxiliary services like courier mail delivery and the sale of state and federal surplus property. The department also manages advocacy programs for traditionally underserved populations. This position is for an Administrative Associate II, with a working title of Administrative Services Representative, within the State Surplus Property division. This division is responsible for offering surplus property from state agencies and the University System to other state agencies, or selling it to qualifying non-profit organizations and the public. The Administrative Services Representative will primarily work at the front desk/counter of the Division of State Surplus Property.

Requirements

  • Documented history of providing customer service including resolving customer issues positively while following up on customer service issues.
  • Proficient in Microsoft Office use as well as other office systems, tools, and equipment including use of a cash register and credit card machines.
  • Retail or other experience in cash handling and receiving and recording payments.
  • Documented experience of work-related attention to detail including the ability to maintain accurate clerical records, online and on paper, and to write legibly.
  • Significant knowledge of office or work unit procedures, methods, and practices.
  • Well-developed interpersonal, communication, organizational, and mathematical skills.
  • Able to prioritize tasks, and adaptable to sudden change in work assignments.
  • Ability to review and process information to determine conclusions, actions, or compliance with applicable laws, rules, or regulations.
  • Ability to record, compile, summarize, and perform basic analysis of data.
  • Work functions must be performed accurately 100% of the time, as inaccuracies reflect upon the capability and integrity of the operation.
  • Notary public certification or ability to become a notary public within 6 months of employment.
  • High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.

Responsibilities

  • Ensure work is being performed correctly, timely, and is adhering to all applicable policies, procedures, and laws.
  • Interpret and implement established policies, procedures, regulations, and laws for the disposition of surplus property statewide.
  • Provide services at the front desk by receiving payments, notarizing vehicle titles, ordering duplicate titles, processing default fees, and assisting customers.
