Job Summary: The Administrative Customer Service Specialist receives incoming requests from customers and/or vendors, executes orders, provides quotes, and checks shipment status. In this role, you will analyze customer needs and provide solutions while providing administrative or technical support to ensure effective on-going operations. This position performs administrative work that requires working knowledge and skills developed through formal training or work experience. You will be expected to recognize and solve typical problems that can occur in your own work area by evaluating and selecting solutions from established options. You will directly impact your team through the quality of the services and information provided, working within established procedures with a moderate degree of supervision.

Requirements

  • Excellent verbal and written communication skills; comfortable handling a high volume of professional phone calls and emails daily.
  • Strong working knowledge of Microsoft Office, specifically Outlook and Excel.
  • Must be highly proficient in Excel functions, specifically able to perform VLOOKUPs and Pivot Tables confidently.
  • Ability to evaluate established options to solve typical workflow and shipment issues.
  • Previous experience in an administrative support, logistics, or customer service role is highly preferred.
  • Must be a U.S. Citizen or National of the U.S., an alien lawfully admitted for permanent residence, or an alien authorized to work in the U.S. for this employer.

Responsibilities

  • Proactively monitor shipments daily to ensure collection and delivery occur within agreed timeframes.
  • Serve as the primary point of contact for clients via phone calls and emails. Update them on the status of clinical supplies and keep them informed throughout the distribution process.
  • Process booking requests in internal databases, and generate or verify complex shipping and customs documentation.
  • Analyze and resolve service-related issues, manage tracing, handle claims inquiries, and take complete ownership of customer situations until resolved.
