About The Position

This candidate will work directly with the Senior Manager - Administration to provide onsite facilities support and maintain an efficient and smooth operation of the Washington, D.C. headquarters. This is a nonexempt position. The ideal candidate should be able to work with limited oversight and in a team environment while simultaneously balancing multiple projects. Candidates must have a willingness to learn, good communication skills, proficiency in Microsoft Office, and the ability to be flexible in meeting deadlines. This position must also understand the sensitivity of maintaining confidentiality.

Responsibilities

  • Assumes an active role in record keeping, maintaining/inventory of office supplies, and coordinating equipment maintenance.
  • Ensures all common areas of the DC office are clean, organized, well-maintained, and compliant with physical safety protocols (i.e., meeting rooms, break rooms/cafe, printer rooms, hoteling workstations, lobby areas)
  • Acts as a resource to and collaborates with other departments, external customers, and external third-party business relationships (visitors/vendors) by meeting needs directly or through facilitation.
  • Ensures Corporate Administrative Services department documentation (Standard Operating Procedures) is updated accurately and timely.
  • Collaborates with Human Resources and Information Technology to execute the logistics related to the onboarding/offboarding of direct hires and contractors. Responsible for the Employee Welcome and Onsite Experience, which includes: Hoteling workstations Badge issuance, collection or deactivation Office tours Employee SWAG (“stuff we all get”) Resource to address employee/visitor questions.
  • Performs various clerical and administrative tasks as directed and required for the support of senior management and the enterprise, examples of which are assisting with expense reports, booking travel, supporting the coordination of meeting/event planning.
  • Performs other duties as assigned.
  • Functions as “corporate greeter” by providing courteous and professional in-person coverage for the Welcome Center, welcoming employees and visitors, and receiving and distributing mail and packages while ensuring the efficient operation of the office lobby area.
  • Monitors the Corporate Administrative Services Team mailbox, promptly responding to and resolving requests.
  • Answers, screens, and directs telephone calls to appropriate staff.
  • Logs and reports office-related issues and places service calls with appropriate vendors.
  • Manages conference/meeting rooms by ensuring rooms are properly maintained, chairs are straightened, whiteboards are cleaned, and reports issues with projectors, screens, and video conferencing equipment to the IT Department.
  • Ensures all common areas of the DC office are clean, organized, well-maintained, and compliant with physical safety protocols (i.e., meeting rooms, break rooms/kitchen, printer rooms, hoteling workstations, lobby areas)
  • Identifies and reserves available workstations for employee/visitor use, ensuring hoteling workstations are in proper working order and available for use.
  • Maintains strong working relationships with DC property management and building engineers for maintenance-related issues; ensures a “good neighbor” relationship with other building tenants.
  • Provides site coordination and backup telephone support to the Iowa office.
  • Performs other duties as assigned.
  • Update and maintain SharePoint site content, document libraries, and lists to ensure information is current and easily accessible.
