About The Position

Lynker Corporation is seeking a dynamic and experienced Administrative Assistant to join their team, supporting NOAA's CO-OPS Field Operations Division Pacific Operations Branch. The role involves managing office operations, documenting activities, assisting with technical projects, and ensuring administrative needs are met in a timely manner. The candidate must be able to multitask, prioritize, meet deadlines, and manage multiple calendars to support office personnel.

  • Perform duties using personal computers and various applications to perform word processing, create spreadsheets, and manipulate data.
  • Track and pay invoices.

Responsibilities

  • Manage office operations and procedures.
  • Document Division and Branch activities.
  • Assist with technical projects on a periodic or interim basis.
  • Work closely with management and technical staff to ensure administrative needs are met.
  • Answer and direct telephone calls and building visitors.
  • Perform general clerical duties (e.g., maintaining records; receiving, preparing and verifying documents; typing; filing; faxing; photocopying; mailing and shipping).
  • Use office automation software (word processing, forms handling, spreadsheet, graphics) to prepare technical reports, presentations, and publications.
  • Receive, perform quality control review, date-stamp and track invoices/utility bills and prepare them for payment.
  • Maintain a proactive posture and develop a working relationship with Federal Project Leads.
  • Assist with preparation of simplified acquisitions and prepare orders for office supplies.
  • Prepare, route, and monitor official correspondence through agency document tracking systems.
  • Provide administrative support for travel authorization and reimbursement processes.
  • Assist with the administration of time and attendance record-keeping.
  • Assist with the tracking and documentation of vehicle and vessel usage.
  • Manage office administrative support and procedures; prepare for office meetings.
  • Document Division and Branch activities, including federal project lead calendar management.
  • Provide periodic and interim technical project assistance.
  • Handle unanticipated short-term and emergency taskings.
  • Ensure achievement of tasking objectives and address immediate tasking shortfalls in compliance with corporate quality assurance procedures and policies.
  • Provide seamless continuity for administrative support when overtasked or out of the office.
