About The Position

We are seeking a detail-oriented, service-minded Administrative Assistant II to join our Phoenix office. This role provides essential administrative and operational support to attorneys, contributing to the efficiency and effectiveness of day-to-day office operations. The ideal candidate is organized, dependable, and proactive, with the ability to manage multiple tasks while maintaining a high level of accuracy and professionalism. They bring strong follow-through, anticipate routine needs, and look for practical ways to improve administrative processes. Equally important, this individual is a collaborative team player who values communication, supports shared goals, and contributes positively to a fast-paced, team-oriented environment.

Requirements

  • Associate’s degree preferred, or equivalent combination of education and experience.
  • 2–5 years of experience in an administrative assistant or similar support role, preferably in a professional services or legal environment.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and Teams).
  • Clear, professional written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Demonstrated reliability, teamwork, and commitment to providing high-quality administrative support.

Nice To Haves

  • Associate’s degree preferred
  • Experience working in a legal, professional services, or multinational organization is a plus.

Responsibilities

  • Provide day-to-day administrative support, including calendar coordination, meeting scheduling, document preparation, and correspondence handling.
  • Assist with travel arrangements and expense processing, as needed.
  • Serve as a point of contact for internal and external stakeholders, responding to inquiries and routing requests appropriately.
  • Draft, edit, proofread and format correspondence, reports, and basic presentations.
  • Support firm leaders with administrative tasks and workflow coordination.
  • Maintain organized electronic filing systems, ensuring accuracy and confidentiality.
  • Assist with onboarding logistics, meeting coordination, and internal team communications.
  • Track deadlines, follow up on pending items, and ensure timely completion of assigned tasks.
  • Utilize firm systems and Microsoft Office tools (Word, Excel, Outlook, PowerPoint and Teams) to support daily operations.
  • Assist with data entry, reporting updates, and maintenance of tracking logs as required.
  • Initiate, track, and escalate IT tickets as needed, coordinating with IT to resolve routine system or technology issues.
