About The Position

Connor Co. is seeking a friendly, organized, and detail-oriented Administrative Assistant to provide front-desk coverage and support administrative and accounts receivable functions at our branch in Moline, Illinois. The ideal candidate will be comfortable working with customers, handling financial information, managing multiple priorities, and completing assignments accurately with minimal supervision.

Requirements

  • High school diploma or equivalent required.
  • Friendly, professional demeanor with a positive attitude and excellent telephone etiquette.
  • Strong interpersonal and written and verbal communication skills.
  • Ability to interact professionally with customers, employees, and all levels of management.
  • Strong organizational and time-management skills, with the ability to prioritize competing responsibilities.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to work independently, use sound judgment, and meet deadlines with minimal supervision.
  • Critical-thinking and problem-solving skills.
  • Basic mathematical skills and the ability to select the appropriate method or formula when resolving account-related issues.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Ability and willingness to learn Eclipse software and other company systems.
  • Keyboarding speed of at least 30 words per minute and proficiency using a 10-key keypad by touch.
  • Ability to remain patient, courteous, and professional while managing interruptions and a busy workload.
  • Dependable and capable of handling confidential customer and company information appropriately.
  • Successfully complete a pre-employment background check and drug screening.
  • Be available to work 7:30 a.m. to 4:30 p.m., Monday through Friday.

Nice To Haves

  • Previous administrative, receptionist, billing, accounts receivable, or customer-service experience preferred.
  • Previous cash-handling or payment-posting experience is a plus.

Responsibilities

  • Welcome visitors, determine the purpose of their visit, and direct them to the appropriate person or department.
  • Answer, screen, and route incoming telephone calls professionally.
  • Maintain a neat, organized, and welcoming reception area.
  • Collect, sort, distribute, and prepare incoming and outgoing mail, messages, and courier deliveries.
  • Provide billing and collections support, including professional follow-up with customers regarding account or payment issues.
  • Post payments and adjustments accurately to customer accounts.
  • Research and assist in resolving discrepancies or other problems involving payments received.
  • Maintain the cash box and ensure it balances weekly.
  • Prepare and make bank deposits.
  • Perform general filing, recordkeeping, and document-management duties.
  • Complete data-entry assignments, including entering receiving and packing slip information.
  • Create basic flyers, correspondence, and other business documents.
  • Monitor inventory and order office supplies as needed.
  • Provide general administrative assistance to management and other departments.
  • Perform additional duties and special projects as assigned.
