About The Position

An Administrative Assistant for the Helms School of Government provides administrative and operational support to departmental leadership, faculty, and programs. This role supports daily office functions, coordinates key activities such as travel and events, and assists with financial and communication processes to ensure efficient operations and alignment with Liberty University policies and the School’s mission, while adapting to evolving departmental needs. The Administrative Assistant for Helms Centers provides comprehensive administrative, logistical, and operational support for the Center for Law and Government, the Center for Excellence in Criminal Justice, Fulbright-related initiatives, and additional Centers as they are developed within the Helms School of Government. This position supports Center leadership, faculty, and affiliated programs through coordination of travel, events, purchasing, expense reconciliation, documentation, communications, and day-to-day administrative functions. The role is intentionally flexible to accommodate the evolving needs of existing and future Centers while ensuring compliance with Liberty University policies and alignment with the mission of the Helms School of Government.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred.
  • Two (2) years of administrative or office support experience required, preferably in higher education or a professional office environment.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel, Teams) and the ability to learn University systems.
  • Ability to effectively communicate both verbally and in writing to convey clear, well articulated information.
  • Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.
  • Possess public communication skills that allow professional representation of Liberty University.
  • Strong organizational skills.
  • Computer skills.
  • Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.
  • Proof of a valid driver’s license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee’s position.

Responsibilities

  • Provide administrative support to Center leadership and Fulbright-related initiatives, including calendar coordination, meeting scheduling, agenda preparation, and follow-up communications.
  • Handle travel planning and logistics for Fulbright activities and Center-related travel, including coordination of itineraries, lodging, transportation, and required documentation in accordance with University policies.
  • Reconcile expenses for Centers and Fulbright activities, including tracking expenditures, submitting documentation, and coordinating with internal finance and procurement partners.
  • Order office supplies and operational materials necessary for the ongoing support of Centers and Fulbright initiatives.
  • Manage ordering, inventory, and distribution of promotional items and branded materials for Fulbright and Center activities, events, and outreach.
  • Assist with planning, coordination, and on-site support for Center- and Fulbright-related events, conferences, speaker series, trainings, and orientations.
  • Support data collection, organization, and preparation of materials for institutional reporting, program reviews, accreditation-related activities, and Center or Fulbright metrics.
  • Prepare, maintain, and organize records, files, correspondence, and documentation for Centers and Fulbright initiatives in approved University systems.
  • Assist with website and communications coordination for Centers, including submitting updates, tracking requests, and coordinating with internal partners.
  • Provide administrative assistance related to faculty, fellows, and program support, including compiling materials for meetings, committees, and Center initiatives.
  • Coordinate with internal departments, staff, faculty, students, and external partners as needed to support the operations of existing and newly established Centers.
  • Handle sensitive student, faculty, donor, and program information with discretion, maintaining confidentiality and compliance with Liberty University policies.
  • Strictly adheres to Liberty University policies, representing the University in an exemplary manner.
  • Works effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ.
