About The Position

This position is for an Administrative Assistant in a Child/Adolescent Crisis Center, working the second shift (3 pm - 11:30 pm). The role involves extensive front-desk and reception duties, client interaction, data entry, administrative support, and maintaining office operations. The ideal candidate will be principle-centered, customer-service oriented, and committed to continuous quality improvement, with a working knowledge of safety management and Joint Commission standards.

Requirements

  • High School or GED required.
  • Three to four years’ experience working in an office setting and performing various clerical or administrative tasks.
  • Advanced knowledge of Microsoft Office Suite.
  • Strong oral and written communication skills.

Nice To Haves

  • Completion of up to 18 months’ business school, beyond high school preferred.

Responsibilities

  • Perform front-desk/reception functions including greeting clients and visitors, answering a multi-line switchboard, forwarding calls, taking messages, checking in clients (verifying demographic information, payer source, collecting and documenting payments), reconciling cash drawer, scheduling appointments, handling mail and faxes.
  • Assist clients in completing intake forms.
  • Handle difficult customer service interactions face-to-face and by telephone.
  • Enter client data (demographics, eligibility, service corrections) into electronic information systems and other program-specific data into various databases.
  • Provide medical records support to Health Information Management staff as needed.
  • File and maintain correspondence, records, reports, and other documents related to site operations.
  • Perform administrative functions such as typing, data entry, generating requisitions for supplies and services, and taking meeting minutes.
  • Run and assess monthly/quarterly reports, troubleshoot inaccuracies, and take action on report results.
  • Coordinate work site's IT functions as needed.
  • Participate in the daily deposit process, including reconciliation.
  • Monitor office supply inventory and order supplies as needed.
  • Call in prescriptions to pharmacies, coordinate lab appointments, and process lab results.
  • Act as a liaison with SCS’s Properties department for submitting work orders and communicating site needs.
  • Act as Infection Prevention Representative for the site, monitoring supplies, attending meetings, and communicating measures to staff.
