About The Position

RMC is hiring an Administrative Assistant to support our Department of Navy customer located at the Picatinny, NJ Arsenal. The selected applicant will: Provide multi-tasking and organization skills as they establish priorities, meet deadlines, and disseminate information to the Branch as necessary Execute general office duties as assigned (i.e., photocopies, shred documentation, distribute USPS mail) Create and print business cards, update organizational charts, and generate correspondence following DoD and DoN records management guidelines Prepare memorandums, letters, reports, spreadsheets, presentations, and other related office documentation; provide general proofreading/editing as needed Create and manage Excel spreadsheets and PowerPoint presentations while maintaining strict confidentiality with the handling of records Route, input, and track documents and procurements through completion/delivery Update internal Standard Operating Procedures (SOPs), guides, and resource documents as needed Collect and proofread weekly highlights for publishing to the Department chain of command and Program Management Office (PMO) Schedule meetings/interviews/onboarding and offboarding; assist with all aspects of logistics Track/maintain comprehensive lists of various information covering musters, awards, certificates, points of contact/call lists, trainings, etc.; send reminders Schedule meetings, calendars, trainings, Teams meetings, video teleconferences, and book conference rooms Provide logistical support for Branch or Division events (i.e., book the facility, send invites for attendees, create agendas, create rosters, support event facilitation, coordinate food/deliveries, etc., and capture/distribute meeting minutes) Request vendor payments through various mandated procurement systems and maintain office supplies Assist employees with the Defense Travel System (DTS) for travel requests Assist with Defense Information System for Security (DISS) requests Support Safety Shoe Truck orders/tracking/distribution Input and track travel orders and verify funding is available Support new employee orientations; assist with all aspects of logistics for onboarding and offboarding Troubleshoot discrepancies with the Government Travel Credit Card (GTCC); follow up with the payroll department to ensure timely resolutions Submit Visitor Access Requests (VARs) through the Defense Information System for Security (DISS) Track time and attendance for regular hours, overtime, and leave; reconcile timesheets as necessary in the Navy Enterprise Resource Planning (ERP) system Obtain/track/distribute office supplies and deliveries/shipments Other administrative duties as needed

Requirements

  • Ability to lift up to 50lbs.
  • Associates degree with two (2) years of relevant experience performing administrative duties or a High School diploma or GED equivalent with four (4) years of relevant experience performing administrative duties, is required.
  • Related experience must include administrative support, such as assisting with report preparation and publication, word processing, and basic cost data management.
  • Candidate must be a qualified typist.
  • Knowledge and operation of office productivity systems is essential.
  • Must have experience using the following Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams).
  • An active DoD secret clearance is required to start.
  • Applicant selected may be subject to a security investigation and must meet eligibility requirements for access to classified information.
  • Support for this position is onsite daily, Monday through Friday, located at the Picatinny Arsenal in New Jersey.

Responsibilities

  • Provide multi-tasking and organization skills as they establish priorities, meet deadlines, and disseminate information to the Branch as necessary
