Requirements

  • Grade 12 diploma; secretarial certificate/diploma considered an asset.
  • Minimum 1-5 years previous work experience in an administrative support role.
  • Ability to carry out tasks independently if necessary; general knowledge working with various correspondence including: reports, tables, letters, memos and Adobe.
  • Advanced knowledge of Microsoft Office (Word, Excel, Power Point, Acrobat Writer).
  • Strong command of the English language, grammar, written and verbal, is required.
  • Independently driven with the ability to make independent decisions on various aspects of document production.
  • Effective problem-solving skills.
  • Excellent prioritization and multi-tasking skills are required.
  • Some flexibility regarding work hours, may be required from time to time.

Responsibilities

  • Coordinating client meetings (scheduling, agendas, prep materials, follow-ups)
  • Formatting and assembling proposals, SOQs, presentations, and client-ready documents
  • Managing contact lists and post-meeting/event follow-up tracking
  • Supporting conference, client dinner, and site visit logistics
  • Assisting with proposal logistics (inputs, resumes, project sheets, deadlines)
  • Light coordination across regions or JV partners as needed
  • Helping track key pursuit milestones and deliverables
  • Helping coordinate office events, leadership visits, and open houses
  • Supporting onboarding and welcoming new staff
  • Assisting with internal office communications and calendars (thinking Megan’s and your notices, etc.)
