About The Position

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Finance Manager. This in-office role is critical to ensuring smooth operations, timely project execution, and exceptional client service. The ideal candidate will manage administrative tasks, coordinate key deadlines, and uphold the highest standards of professionalism.

Requirements

  • Proven track record of managing and delivering projects to strict deadlines.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Professional demeanor and ability to maintain confidentiality.
  • Collaborative mindset with strong interpersonal skills.
  • Previous experience in an administrative or executive assistant role preferred.
  • High school diploma required; associate or bachelor’s degree in business administration or related field is a plus.

Responsibilities

  • Provide general administrative support to the Finance Manager.
  • Order office supplies and maintain inventory to ensure operational efficiency.
  • Help prepare, update, and maintain financial reports daily
  • Support the AR and AP team when needed.
  • Assist with journal entries, accruals, and month-end close tasks.
  • Maintain organized accounting files and documentation for audits.
  • Help maintain compliance with financial regulations and company standards.
  • Maintain organized filing systems (digital and physical) for easy retrieval of documents.
  • Serve as a liaison across departments to ensure collaboration and timely execution of tasks.
  • Handle confidential information with discretion and professionalism.
  • Perform other general administrative tasks as assigned.
  • Audit timesheets weekly and maintain accurate payroll records.
