Administrative Assistant - FT - Clark County   Starting Rate: $18.00/hour                         Full Time employees are eligible for benefits 1st day of the month following 30 days of employment

Requirements

  • Computer skills with proficiency in Microsoft Word/Excel, minimum 2 years of experience
  • Must be detail oriented and possess the ability to coordinate and handle multiple tasks simultaneously
  • BE ABLE TO MAINTAIN A PROFESSIONAL ATTITUDE AND WORK EFFECTIVELY WITH ALL LEVELS OF STAFF
  • Efficient verbal, written and typing skills
  • Must possess good listening skills
  • High School Diploma or equivalent
  • 2 years of clerical experience, required

Responsibilities

  • Greet all visitors to the facility and provide courteous and professional responses to their individual business needs and/or direct the visitors to appropriate staff
  • Responsible for ensuring secure entry to the building is maintained at all times
  • Maintain daily attendance sheet for The Square – signing consumers in and out
  • Receive and properly route all incoming calls and ensure staff receives appropriate messages
  • Responsible for keeping reception area neat and organized at all times and watering plants
  • Stamp, process, and distribute mail daily
  • Update monthly Birthday & Anniversary announcements for HRD to post on website
  • Prepare New Hire Orientation Packets
  • Responsible for typing correspondence, faxing, shredding, and copying documents as needed
  • Create and maintain fillable Adobe Acrobat forms for the company handbooks
  • Ensure that the front office equipment is properly maintained and that necessary operating materials (toner and paper) are stocked according to need
  • Order office supplies for Center and HF Offices
  • Update and maintain organization’s phone list
  • Submit Purchase Orders
  • Responsible for Petty Cash
  • Post sign out spreadsheet for vehicle fleet
  • Process gas receipts and match to monthly invoice
  • Create monthly vehicle schedule excel file for checkout
  • Order, distribute and bill for TARC tickets
  • Enter all new consumer information and keep existing consumer’s information up to date in client tracking software(s) – Ability Services
  • Maintain Center and Scott County consumer rosters and demographics
  • Create and submit monthly board reports
  • Complete Day and Employment Services Outcomes System report – completed annually
  • Process State emails
  • Contribute to team effort to accomplish the Mission Statement of NHS
  • Maintain highest degree of confidentiality regarding all client, personnel and financial matters of NHS
  • Maintain familiarity with and review the personnel policies and procedures of New Hope Services (Employee Handbook)
  • Perform other related duties as requested by Supervisor
